    About this Job:

    Serves as the principal Administrative Assistant to the DOTD Chief Engineer, providing high-level executive support and assuming full responsibility for independently managing the complex administrative operations of the Office of Engineering. This position requires exceptional organizational skills, attention to detail, and the ability to work autonomously in a fast-paced, high-responsibility environment. The Administrative Assistant exercises independent judgment and initiative in executing a wide range of duties, including managing the daily flow of internal and external correspondence, preparing and reviewing documents for accuracy and compliance, coordinating meetings and schedules, and ensuring timely follow-up on critical matters. This role acts as a key liaison between the Chief Engineer’s Office and other internal divisions, state agencies, federal partners, and the public.

    Minimum Qualifications

    Five years of experience in administrative services.

    EXPERIENCE SUBSTITUTION:

    Every 15 semester hours earned from an accredited college or university will be credited as six months of experience. The maximum substitution allowed is 120 hours, which substitutes for a maximum of four years of experience.

    Job Duties and Other Information

    Job Duties:

    + This position is responsible for maintaining the confidentiality of sensitive information, tracking deadlines, and ensuring that communications reflect the professionalism and standards of the department. The ability to prioritize tasks, anticipate the needs of the Chief Engineer, and make informed decisions in the absence of direct supervision is essential.

    + Provides comprehensive administrative support to the Office of Engineering, ensuring the efficient and effective operation of both the Chief Engineer’s Office and the various Sections that fall under its direction. This role requires a high level of discretion, respect for confidentiality, attention to detail, and the ability to manage multiple competing priorities.

    + Responsible for composing, editing, and routing confidential and often time-sensitive correspondence on behalf of the Chief Engineer, including communications involving complex technical, legal, or policy-related matters. This includes drafting letters, memos, and formal responses for the DOTD Secretary and/or executive leadership. Ensures all outgoing correspondence adheres to departmental formatting standards and reflects a high level of professionalism and discretion. May coordinate with legal or communications staff when appropriate.

    + Receives, screens, and responds to incoming calls and visitors from the public, consultants, other agencies, and internal staff. Exercises sound judgment and professional discretion to determine the nature of each inquiry and appropriately refers calls/visitors to relevant personnel or sections.

    + Responsible for coordinating all travel arrangements for the Chief Engineer, Deputy Chief Engineer, and associated staff. Tracks and reconciles travel expenditures.
