    THE JOB

    This position supports the sales teams at the venue level and the Special Events (SE) home office department. Responsibilities include assisting in the corporate execution of sales and marketing projects as directed by the EVP of Sales and Special Events, VP of Sales, and Director of Marketing. The coordinator will also provide venues with administrative support. This includes updating sales assets, onboarding new employees, and collecting and arranging annual, monthly, and weekly reports. They will assume varying degrees of accountability and responsibility for specific projects, as well as full responsibility for the home office sales and marketing department's administrative needs and functions, including direct administrative support to the executive sales team.

    WHAT THIS ROLE WILL DO

    + Assist in the project coordination for sales and marketing programs.

    + Collect and assemble weekly, monthly, and annual reports

    + Maintain collaborative internal filing systems.

    + Select event-based images for promotional and editorial needs.

    + Support the onboarding of new venues.

    + Update all sales-centered collateral, including but not limited to one-sheets, promotional booklets, maps, and event-focused informational assets.

    + Negotiate with outside vendors for print and promotional orders.

    + Conduct sales and marketing administrative functions, including project tracking, filing, invoice reconciliation, and travel arrangements.

    + Keep internal team documents updated: contact lists, org charts, and calendars.

    + Help onboard new team members by setting up tools, updating email lists, and ordering supplies.

    + Create and update training materials and internal guides to improve team processes.

    + Manage recurring team meetings by organizing agendas and keeping attendees/schedules on track.

    + Schedule interviews and coordinate communication during EVP’s hiring process as well as manage duties as assigned by EVP.

    + Support budget planning by reviewing documents and helping track expenses.

    WHAT THIS PERSON WILL BRING

    + College Degree, marketing or business preferred.

    + Demonstrate a high proficiency in Word.

    + Proven proficiency at working effectively in Excel to update financial reports, formulas and formats.

    + Written and verbal communication skills; time management skills.

    + Ability to function in a fast-paced, deadline-driven environment.

    + Proven ability to be successful in a multitasking environment.

    + Must be organized and have a high attention to detail.

    + Speed, productivity and accuracy of work.

    + Punctuality and Attendance.

    + Attitude and Teamwork Communication (Written and Verbal).

    + Adherence to Company Policies.
