    Summary:

    + The administrative coordinator works with the Sleep and Neurophysiology staff to ensure patient/customer centered care, supports Delivery of highest quality care and assists meetings operational targets of the department. This position works under the direct Supervision of the team lead along with the Director of Respiratory and Neurophysiology Services to perform essential administrative duties

    Responsibilities:

    + Responsible for management of front desk area including greeting patients upon entry and provide any required assistance

    + Responsible for answering and screening all telephone calls

    + relay messages to appropriate staff member via Epic, maintain a daily telephone message log, provide general information to callers requesting inquiries.

    + Responsible for managing Sleep Department Penn Chart in baskets and all corresponding messages as well as documenting all correspondence

    + Responsible for coordination and submission of all PAP orders (set up, supplies, ONO, replacement units) and assist patients with any DME concerns/needs with Epic documentation for each encounter.

    + Oversees scheduling of all sleep studies

    + including reviewing orders for insurance requirements and assisting with obtaining insurance authorization, and coordinating any follow up as indicated on order.

    + Coordinates In-patient sleep screening including obtaining all necessary information for scheduling, coordinating appointment and discharge needs with nursing and social work and sending paperwork to appropriate parties in a timely fashion

    + Oversee Harrison Fund PAP orders including ensuring patient qualification, maintaining budget, registrar, and processing invoices

    + Oversee maintenance of all office equipment and scheduling of service calls as needed, ensure maintenance of the lab is being provided by Environmental Services, order all office supplies as approved by the director, deliver and pick up all mail for the department from the mail room and perform other errands as required by the department.

    + AC will review and coordinate all sleep study orders

    + Assists with preauthorization for insurance referrals regarding sleep studies

    + Confirm sleep studies within 48 hours of scheduled appointment

    + Attend monthly Shared Governance meetings to represent staff and department concerns

    + Provide general assistance to medical director and sleep providers including but not limited to coordination of patient appointments, PAP orders, education, and follow ups

    + Assists with maintaining volume and quality data logs

    + Other duties as assigned

    Credentials:

    Education or Equivalent Experience:

    + H.S. Diploma/GED (Required)
