Job Summary
The Academic Records Specialist serves in a leadership role in the Office of the Registrar. Manages and provides leadership for completeness, accuracy, and security of student records. Assists the Registrar in preparing the university class schedule and assignment of classrooms at the University. Assists the Registrar with the processes of grading and registration. Will act in the Registrar’s role when the registrar is not present or so designates. Under the general supervision of the Director of Records/Registrar, incumbent is responsible for one shift, 8 hours a day, 5 days a week and is subject to hours beyond the normal workday.
Job Responsibilities
+ Manages and maintains student academic records ensuring accuracy, integrity and security of those records in compliance with FERPA and University policies; collaborates with financial and admissions staffs, faculty and students to ensure complete and accurate student information records and files.
+ Assists the Registrar to prepare and publish the class schedule in coordination with the academic deans and determine classroom scheduling for the academic curriculum.
+ Processes changes in student enrollment status including course withdrawals, leaves of absence, and withdrawals from the University.
+ Manages the reporting of enrollment and graduation data to the National Student Clearinghouse and other processes contracted for with the Clearinghouse.
+ Serves as the secondary processor for the release of official transcripts and certification of enrollment per University policies, Family Educational Rights and Privacy Act of 1974 (FERPA), American Association of College Registrars & Admissions Officers (AACRAO) and Southern Association of College and Schools (SACS) guidelines.
+ Performs related responsibilities as assigned or directed.
Minimum Qualifications
+ Bachelor’s degree in an appropriate related field
+ Knowledge and skill in academic records practices and methods
+ Strong computer and statistical reporting skills
+ Excellent verbal and written communications skills
+ Demonstrated service- oriented attitude and ability to problem solve effectively
+ Two (2) years in post-secondary educational setting or one (1) year experience in collegiate Registrar’s Office.
