Robert Half's client in Walnut Creek is in need of an administrative assistant!
Duties and Responsibilities:
• Finalizes and distributes Board and committee agenda packets.
• Takes, prepares, finalizes, and distributes committee meeting minutes.
• Prepares and distributes memos, letters, and reports.
• Maintains shared meeting calendars, schedules and distributes meeting notices.
• Maintains committee rosters, and departmental files.
• Coordinates annual training for the Board and its committee members.
• Fields telephone calls and email inquiries.
• Catalogs Board actions.
• Provides backup support to the mail clerk.
• Attends monthly meetings and manages the Zoom portion of the Member Forum.
• Performs other duties as assigned that fall within the purview of Executive Services.
Qualifications:
• High School Diploma or equivalent is the minimum educational requirements for this position.
1-3 years of experience in administrative support roles with increasing responsibility.
• Must be detail-oriented with demonstrated excellence in verbal and written communication skills, including the ability to proofread and edit documents with a high degree of accuracy.
• Excellent customer service, time management, and prioritization skills.
• Strong interpersonal skills and the ability to multitask in a fast-paced environment.
• Must possess strong to advanced proficiency in Microsoft Word, Excel, and Outlook.
• Ability to work with Simbli or similar web-based meeting management applications.
• Demonstrated ability to maintain strict confidentiality regarding documents, plans, and conversations.
• Familiarity with Zoom webinar and meeting functions (preferred but not required).
• Familiarity with Robert’s Rules of Order (preferred but not required).
• Familiarity with NetSuite (preferred but not required).
• Familiarity with Adobe Acrobat PDF tools (preferred but not required).
• Familiarity with DocuSign or similar electronic signature platforms (preferred but not required).
• Ability to learn and adapt to new technology systems quickly.
• Requires strong accountability for ensuring the timely delivery of services.
• Ability to consistently meet attendance requirements.
