Description We are looking for an experienced Property Administrator to join our team in Indianapolis, Indiana. This long-term contract position is ideal for someone passionate about the real estate industry and skilled at handling administrative responsibilities with professionalism and efficiency. The role focuses on ensuring smooth property management operations, fostering tenant relationships, and maintaining compliance with organizational policies.
Responsibilities:
• Organize and schedule meetings, events, and other activities as needed to support property management operations.
• Coordinate the preparation of bid proposals, service contracts, and invoices while assisting in the bidding process to ensure adherence to company procedures.
• Process and code invoices for approval by the Property Manager, ensuring accuracy and timeliness.
• Maintain office supplies and essentials to support daily operations.
• Manage contract administration software by ensuring accurate input of contracts and certificates of insurance while tracking expirations.
• Oversee property maintenance work orders, providing monthly status updates to the Property Manager.
• Maintain organized systems for lease, contract, and other vital files within the property management office.
• Build strong relationships with tenants and clients by addressing service calls and resolving concerns promptly.
• Assist in the creation of monthly and quarterly management reports and contribute to annual budget preparation.
• Process various administrative tasks, including staff hours, tenant bill-back invoices, expense reports, and meter readings. Requirements • High school diploma or equivalent; a Bachelor’s degree is preferred.
• Strong communication skills, both written and verbal, with the ability to interact effectively with tenants and team members.
• Customer-focused mindset with the ability to address internal and external needs professionally.
• Exceptional organizational and multitasking abilities to manage multiple priorities efficiently.
• Proficiency in accounting software systems and tools such as ADP Financial Services, JD Edwards EnterpriseOne, and CRM systems.
• Familiarity with accounting functions, including accounts payable, accounts receivable, billing, and budget processes.
• Initiative and interpersonal skills to foster collaboration and resolve issues proactively.
• Experience in property management or administrative roles is highly desirable. TalentMatch®
