Job Description
The Department Assistant will provide comprehensive administrative support to the group, ensuring the seamless operation of daily department functions and activities. This role involves coordinating travel arrangements, assisting with expense reports, and supporting the marketing and sales team with various tasks. The assistant will manage client engagements, including meetings, catering, and entertainment requests, and will work closely with department management to align with business goals.
Responsibilities
+ Provide administrative support for department management to ensure continuity of daily department functions.
+ Coordinate travel requests and assist with expense reports for the group.
+ Assist the marketing and sales team with ad hoc tasks as assigned.
+ Manage client experience and engagement, including client meetings, catering, and promotional items.
+ Facilitate the dissemination of information to the department and project teams.
+ Research and resolve questions regarding the department.
+ Prepare and present meeting notes, presentations, and tables using Microsoft Office programs.
+ Develop procedures and assist in the development of business initiatives.
+ Monitor department deadlines and support the presentation of monthly progress reports.
+ Coordinate and facilitate on-site and off-site meetings for the department.
+ Oversee required training programs and records for department personnel.
+ Monitor and approve standard expenditures to ensure budget compliance.
+ Prepare communications including emails, meeting agendas, and minutes.
+ Handle sensitive and confidential information responsibly.
+ Coordinate department-related issues and complaints, ensuring resolution.
+ Perform other duties as assigned.
Essential Skills
+ Minimum of 2 years of office/clerical experience.
+ Advanced proficiency in Microsoft Word, Excel, Access, and PowerPoint.
+ Excellent organizational, communication, and multitasking skills.
+ Ability to work independently with accuracy, reliability, and problem-solving skills.
Additional Skills & Qualifications
+ High School Diploma or equivalent.
+ Experience in administrative support, data entry, and customer service.
+ Demonstrated ability to communicate professionally with various levels within an organization and with external stakeholders.

Pay and Benefits
The pay range for this position is $23.00 - $25.00/hr.
