The CMM Program Manager oversees the planning and execution of all internal business meetings, training sessions, and high-profile events held on and around our Ridgefield, CT campus. This role is instrumental in creating seamless and impactful experiences for both employees and guests. Acts as central point of contact, collaborates cross-functionally with a variety of stakeholders including operations teams, training personnel, food service providers, security, employee attendees and external guests. Must manage multiple projects simultaneously, anticipate needs, and maintain strong relationships.
Develop, plan, and execute a diverse portfolio of internal meetings, training programs, and special events from conception to completion. Manage event timelines, budgets, and resources effectively. Establish and maintain a standardized process for event requests, planning, and execution. Ensure all events align with company objectives, brand guidelines, and compliance requirements.
Partner closely with group functions to secure appropriate venues, technology, and logistical support. Coordinate with HP training personnel to understand their needs and provide optimal environments for learning sessions. Liaise with food service to plan menus, catering, and dietary requirements. Work in conjunction with security to ensure the safety and smooth flow of all events. Communicate regularly and effectively with internal customers to understand their event objectives and deliver tailored solutions.
Oversee all logistical aspects, including room setup, AV requirements, signage, registration, and materials distribution. Manage vendor relationships and contracts for various services. Develop and execute post-event evaluations in conjunction with event content owner to gather feedback and identify areas for improvement. Troubleshoot and resolve any issues that arise during events.
Track and manage event expenses in a centralized shared location, ensuring adherence to allocated budgets and discussions with event owner in the event of potential deviations. Provide regular reports on event metrics, attendance, and outcomes. Identify cost-saving and process improvement opportunities without compromising event quality.
Duties & Responsibilities
+ Successful execution of all assigned meetings, training sessions, and events on time and within budget, meeting or exceeding stakeholder expectations. Accurate and timely management of event budgets and financial reporting.
+ Continuous improvement of event processes and standards based on feedback and industry best practices. Adherence to all company policies, security protocols, and compliance requirements for event planning and execution. Contribution to a positive and supportive team environment within the congress & meeting management function.
+ Build strong relationships with key stakeholders across Boehringer, including commercial, medical, and IU teams, fostering effective communication and collaboration.
+ Partner with internal departments such as IT, Security, and Procurement to ensure seamless operational support for Speaker Bureau, HCP Contracting and CMM initiatives.
+ Represent Speaker Bureau, HCP Contracting and/or CMM in cross-functional initiatives, contributing to the development and implementation of organizational strategies.
Requirements
+ Bachelor’s degree required
+ Bachelor's degree in Hospitality Management, Event Management, Communications, or a related field with 3 years of experience in corporate event planning, meeting management, or program management, preferably within an in-house corporate environment.
+ Proven ability to manage multiple projects simultaneously and prioritize effectively in a fast-paced environment.
+ Exceptional organizational skills and attention to detail.
+ Strong interpersonal and communication skills, with the ability to build rapport and collaborate effectively with diverse stakeholders.
+ Proficiency in event management software and tools.
+ Problem-solving mindset with the ability to adapt to changing circumstances.
+ Ability to work flexible hours, including evenings and weekends, as required by event schedules.
+ A strong desire for continuous learning and professional growth within the event management field.
+ Demonstrated ability to support and mentor other members of the meeting management team, fostering a collaborative and high-performing environment.
Eligibility Requirements:
+ Must be legally authorized to work in the United States without restriction.
+ Must be willing to take a drug test and post-offer physical (if required).
+ Must be 18 years of age or older.
Compensation Data
This position offers a base salary typically between $90,000 and $147,000. The position may be eligible for a role specific variable or performance-based bonus and or other compensation elements.
