    **Division** : Tarheel Electric Membership Corporation (TEMA)

    **Summary Description:** The Sales Coordinator is responsible for receiving, processing, and expediting customer orders while ensuring accurate pricing and follow-up. It requires maintaining strong relationships with manufacturers’ representatives for efficient service, handling correspondence and records effectively, and promoting positive member relations through cheerful and cooperative telephone communication.

    **Academic and Trade Qualifications:** High School diploma or equivalent required. Some business course preferred. Electronic data processing training program or on-job experience.

    **Work Experience:** Minimum 1 year experience in a position involving public contact. Order-entry experience with electronic data processing.

    **Responsibilities** :

    + Order Processing: Enter orders for stock, non-stock, and direct ship items, issuing debit and credit memos as needed, and managing orders through follow-up, expediting, and resolving discrepancies to ensure successful completion.

    + Billing Process: Verify vendor invoices for direct shipments against purchase orders for accuracy and forwarding them to Accounting, assisting with the shipping feedback process to generate customer invoices, and reviewing invoice edit reports to ensure billing accuracy.

    + Purchasing: Requests vendor quotations for poles and transformers, purchasing materials in line with established procedures, and resolving discrepancies in pricing or other terms by initiating adjustments with vendors.

    + Record Management: Maintain organized and accessible customer files and computer reports to support reference needs and audit readiness.

    + Computer Operations: Manage job submissions and print queues, verify report completeness before distribution, maintain inventory of printing supplies, and troubleshoot processing interruptions following operational guidelines.

    + Customer Service: Provide responsive and courteous customer service by addressing needs and concerns promptly and assist the Director of Sales with special projects as required.

    **Job Knowledge:** Effective working knowledge of material catalogs preferred.

    **Abilities and Skills:** Typing required. Ability to operate a variety of office machines, i.e., calculator, copier, postage meter, data entry terminal. Ability to coordinate purchasing and sales achieve satisfactory results. Must possess good computer skills. Must possess excellent customer service knowledge and skills.

    **Relationships and Contacts:** The position reports to the Director of Sales Administration and involves coordinating with internal teams like Purchasing, Warehouse Operations, Division Staff, and Accounting to support pricing, shipments, and invoice resolution. Externally, it includes processing orders, managing direct shipments, and maintaining positive relations with customers and the general public. Responsibilities may evolve with business needs.
