    We’re looking for a reliable and proactive Office Operations Coordinator to support the day-to-day functionality of our office. In this part-time role, you’ll be the go-to person for maintaining a well-stocked, tidy, and smoothly running workplace. From managing kitchen inventory to coordinating with vendors, your work will help ensure our team has what they need to thrive.

     

    This onsite, part-time role is based in our Boston, MA office, with preferred hours of 10:00 a.m. - 2:00 p.m. ET, Monday through Thursday. The position offers $20.00/hour, and requires access to reliable transportation.

    Core Responsibilities:

    Kitchen Management

     

    + Monitor and restock kitchen inventory (snacks, beverages, paper goods, etc.)

    + Manage weekly Instacart orders, including responding to shopper messages

    + Keep kitchen areas clean, organized, and guest-ready

     

    Office Supplies & Inventory

     

    + Track and replenish general office supplies (pens, paper, etc.)

    + Maintain a tidy and functional supply area

     

    Mail & Packages

     

    + Check the mailroom daily and distribute incoming packages

    + Ensure timely pickup and drop-off of shipments, if needed

     

    Vendor Relations & Building Support

     

    + Serve as primary contact for building management regarding maintenance or facility issues

    + Submit maintenance requests and follow through to resolution

    + Manage office access for employees and guests

    + Act as point of contact for service techs (e.g., Bevi repairs)

     

    Tech & Food Services

     

    + Act as Relish (ezCater) account administrator: add new employees, manage guest access, troubleshoot issues

    + Coordinate with Bevi for service or supply needs

    Knowledge, Skills, Abilities Required:

    + Access to reliable transportation

    + Strong organizational skills and attention to detail

    + Clear communication and comfort managing vendor interactions

    + Proactive problem-solving and a flexible, can-do attitude

    + Ability to lift and carry packages (up to ~50 lbs) and move around the office as needed

    + Previous experience in office or facilities coordination is a plus
