    Legal Assistant

    STARTING SALARY: $49,950

    JOB SUMMARY:

    The Legal Assistant 3/4 works under the supervision of the Legal Department Office Manager and is assigned specific attorneys for whom the Legal Assistant provides document production services as well as case-related preparation and limited research services. The Legal Assistant may be responsible to assist with the department’s delivery of program services to various union committees.

    ESSENTIAL JOB FUNCTIONS:

    1. Performs efficiently as a Legal Assistant for multiple attorneys, in a high-volume litigation environment.

    2. Maintains multiple attorneys’ schedules, status reports, confidential files, records and related assignments.

    3. Maintains knowledge and competency in legal document format, applicable court rules and requirements, and legal profession standards in both state and federal courts, and in various administrative agencies.

    4. Produces legal documents (pleadings, briefs, memoranda, correspondence. Assembles and binds briefs/pleadings and Records on Appeal for proper filing with courts and service on other parties as necessary.

    5. Assures timely and appropriate filing of legal documents (courts/agencies, etc.).

    6. Maintains multiple attorneys’ case dockets, all case transactions on all written correspondence, incoming and outgoing through a case management system.

    7. Maintains case files for assigned attorneys for progress, appearances, due dates, filings, or other appropriate action.

    8. Organizes materials in preparation for meetings and conferences. May be assigned the responsibility of taking minutes and presentation of documents.

    9. Performs any case preparation, including client preparation, document preparation, trial notebook preparation, correspondence, and other case assignments, as directed by assigned attorneys.

    10. Establishes and maintains communication with members, local or unit elected or appointed officials, staff, and other affected parties as part of case preparation and case management.

    11. Performs limited research as assigned by attorneys.

    12. Responsible for processing and responding to Information Subpoenas.

    13. Responds to daily member and staff case related/assignment related inquiries with accurate information and in a timely manner.

    14. May be responsible to prepare for and support committee work for Legal Department staff liaisons to CSEA Standing Committees (Judicial Board, Statewide Election Committee and Constitution and By-Laws Committee).

    OTHER JOB FUNCTIONS:

    1. Opens, sorts, logs and handles as appropriate attorneys’ incoming mail.

    2. Provides related telephone and correspondence support for Department attorneys.

    3. Must be able to meet stringent time requirements in emergency situations.

    4. Serves and files papers as assigned by attorneys.

    5. Performs general office duties, such as photocopying, faxing, scanning, handling multi-line phones, directing member inquiries, and other duties as required.

    6. Performs other duties as required or assigned by the General Counsel, attorneys and/or the Legal Office Manager.

    MINIMUM QUALIFICATIONS:

    A Bachelor’s Degree, preferably with concentration in Labor Relations or an Associate’s Degree in Paralegal Science or three years’ relevant experience, preferably in the Labor Relations field and/or in a legal department or legal office environment.

    OR

    High School diploma or equivalency, plus ability to produce documents in a timely fashion and operate word processing and transcription equipment efficiently. Must pass appropriate tests to demonstrate these abilities. Must possess excellent grammar and spelling skills and have knowledge of legal terms and forms. Two years’ experience in high volume, multiple attorneys setting.

    OR

    An acceptable combination of training and experience. Demonstrated outside experience equivalent to Legal Assistant may be credited upon entry to the title up to one year.

    NOTE:

    Overtime anticipated as the litigation needs of the department require.

     

    In order to be promoted to Legal Assistant 4 position, the Legal Assistant 3 must have two years satisfactory experience as a Legal Assistant 3, possess excellent skills and be able to make decisions and independently perform all duties of the Legal Assistant position.
