This position directly supports the Director of Environmental Services (EVS) and also supports the Director of Food and Nutrition Services (FNS). In addition, this position works with the management teams for both departments including providing business and administrative support. This position also coordinates for the catering client in FNS. The FNS department requires booking, planning, billing, delivering, and communicating all details of each catering order to ensure successful events. The EVS requires extensive coordination of supplies, budgeting, cleaning requests, presentations, data compilation, and the coordination of the Shared Governance committee. This position is responsible for hospital-wide coordination of exterminating services, as well as other vendor interaction.
• Events: Create and guide all catering request to ensure successful events from start to finish inclusive of month end revenue and expense reports. Book all meeting space for any internal or external event utilizing meeting room software program. Coordinate with AV department to ensure requested needs are communicated, timely and accurately. Provide monthly meeting room calendars to Security, Welcome Desk and Managers. • Quality: Tracks quarterly quality indicators as directed ensuring completion; offers ongoing opportunities for improvements to stakeholders and gives annual presentation at QI meeting as requested. • Onboarding/Staff Support: Assists with the onboarding of all new hires in both FNS and EVS inclusive of training and completion/review of new hire checklist. Supports EVS and FNS employees in maintaining compliance with Knowledge Link training, vaccination requirements, and annual manual education throughout the year. • Compliance: Maintains all documentation necessary for The Joint Commission (TJC) and state surveys. Appropriately maintain physical employee files for both EVS and FNS in alignment ensuring all required documents are in the files. Responsible for Manifest report compliance for Hazardous Waste removal. • Customer Service: Receives, generates, and dispatches service requests to both EVS and FNS team. Answers calls and emails for both departments in a timely manner. Interacts with all levels of hospital personnel including Senior leadership, patients, and visitors with courtesy, compassion, and respect. • Coordination: Responsible in Penn for FSM as a requestor for all EVS supplies as well as ordering FNS supplies. Types, proofs, and edits a variety of materials, correspondence, manuscripts, reports, and presentations. Coordinates meetings for Directors of both EVS and FNS inclusive of scheduling and provides associated documentation for meetings. Ensures all logistics are complete. Conducts research and provides administrative support for special projects, prepares data and provides follow up. Coordinates Shared Governance committees for both departments. • Vendor Relations: Oversees multiple contracts ensuring compliance by both Technicians and Vendors and maintains excellent rapport with all vendors. • Performs duties in accordance with Penn Medicine and entity values, policies, and procedures • Other duties as assigned to support the unit, department, entity, and health system organization
