    At Tulsa Legacy Charter School (TLCS), the Health Services & Operations Coordinator plays a critical role in supporting the health and well-being of scholars. This position manages the daily health office, provides basic healthcare, administers medications, and ensures compliance with state and federal health guidelines. The role also partners with families and local providers to expand access to essential health services.

     

    In addition to health responsibilities, the Coordinator supports school operations by assisting with enrollment, compliance paperwork, family communication, and front desk coverage. During the school year, the primary focus is on student health and wellness; during the summer, responsibilities expand to include operational readiness for enrollment and school opening. By balancing direct health services with administrative support, this role ensures that TLCS schools remain safe, compliant, and welcoming for scholars and families year-round.

     

    This role is a 12-month position, with responsibilities that flex between health services during the school year and operations support during the summer.

    Health Office Management

    + Maintain a clean, organized office and manage student health records confidentially.

    + Track medical supply inventory and update immunization records, working with families to ensure compliance.

    + Support enrollment by reviewing and processing required health documentation, ensuring student files are complete and compliant (heavy focus during summer enrollment season).

    Student Health Services

    + Conduct health assessments, including vital signs and screenings, and manage chronic conditions (e.g., asthma, diabetes).

    + Administer medications and first aid per Department of Health guidelines.

    + Serve as the health emergency point person and communicate with families about student illnesses.

    + Supervise sick students and consult with staff and parents on health-related matters.

    Communication & Coordination

    + Communicate health information with scholars, parents, and staff in a clear and supportive manner.

    + Schedule health screenings and coordinate with healthcare providers.

    + Lead health education programs and communicate about infectious diseases within the school.

    Administrative & Operational Support

    + Assist in preparing health reports and ensuring compliance with health policies and regulations.

    + Conduct required student evaluations and develop health care plans as needed.

    + Provide general front desk support during peak times, including welcoming families, answering phones, handling visitor check-ins, and completing administrative paperwork.

    + Support enrollment processes by reviewing required health and non-health documentation, ensuring student files are complete and compliant.

    + Partner with the registrar and operations team on compliance, data entry, and family communication, with expanded responsibilities during the summer to ensure readiness for the school year

    Other Duties

    + Adapt to additional tasks and responsibilities as school needs evolve

    Working Conditions & Physical Requirements:

    + Work in a school health office, with physical demands such as standing for extended periods and lifting up to 50 lbs. Ability to respond quickly in emergencies.

    + High School diploma or equivalent

    + Minimum 2 years of professional experience (4 years preferred)

    + 2+ years of experience working with children in school or health settings (preferred)

    + Certified Medical Assistant (CMA) from an accredited body (AAMA, NHA)

    + Registered Nurse (RN) license preferred

    + Experience with Electronic Health Records (EHR) preferred

    + Valid driver's license

    + Current CPR/First Aid certification

    + Strong oral and written communication, interpersonal, and organizational skills

    + Knowledge of relevant policies, regulations, and statutes

    + Computer skills (email, word processing, health reporting)
