    This role serves as a central support for the Incident Management and Quality Assurance teams, acting as the primary contact for internal incident reporting while maintaining accurate records and tracking systems. The position is responsible for data entry, document collection, and facilitating inter departmental collaboration, as well as coordinating meetings and providing detailed documentation of the items discussed. The role requires strong organizational skills, attention to detail, and a commitment to upholding agency values through collaboration, problem-solving, and ongoing compliance support.

     

    Will assume responsibility as the lead contact for all internal incidents. This includes the receipt and follow-up to all incident notifications, maintenance of incident report tracking system, and the reporting of trends to the Director of Incident Management.

     

    + Receive, review, and upload fire drill reports and program ledgers into designated tracking systems, ensuring accuracy and timely entry.

    + Monitor tracking systems to verify data completeness and accuracy, and promptly notify the Compliance Administrator of outstanding or overdue submissions.

    + Data entry into various systems, including but not limited to Share Point, and OPWDDs IRMA system.

    + Scanning and filing various correspondence and documents as appropriate based on the needs of the departments.

    + Requesting and collecting documents from other departments to assist in the building and completion of new incident folders, and various Quality Assurance audits.

    + Collect, file, and maintain POCA documentation to support ongoing monitoring and audit readiness.

    + Be an active participant for routine information sharing, problem solving, and crisis intervention as needed.

    + Record detailed notes during QA and Incident Management-related meetings, and distribute minutes and action items in a timely manner.

    + Assist in coordinating and scheduling meetings for external investigators.

    + Coordinate meeting logistics, including scheduling, room reservations, calendar invitations, and preparation of meeting materials.

    + Performing all other work related duties as assigned

    Requirements

    Minimum Qualifications/Requirements:

    + High School Diploma (or equivalent) with a minimum of 2 years administrative experience.

    + Proficiency in or knowledge of using a variety of computer software applications, especially Excel and

    + Microsoft Word software.

    + High level of interpersonal skills to handle sensitive and confidential situations and documentation.

    + Attention to detail in composing, typing and proofing materials; establishing priorities; and meeting deadlines.

    + Good to excellent spelling, grammar and written communication skills.

    + Excellent telephone and oral communication skills.

    Preferred Qualifications/Skills:

    + Familiarity with most standard office equipment.

    + OPWDD Incident Management Experience

    Physical Requirements:

    + Prolonged periods of sitting

    + Able to lift 15 pound

    Salary Description

    $19.80/hour
