    Schedule: Monday–Friday, 4:30 PM–9:30 PM (25 hours/week)

     

    Pay Rate: $20 – $25 per hour

     

    Reports To: Adult Education Manager

     

    Status: Temporary, Part-Time (position ends when full-time team member returns from family leave)

    Position Summary

    The Intake Coordinator will be the welcoming face of our evening Adult Education programs, helping participants navigate registration, testing, and intake processes while ensuring smooth behind-the-scenes operations. This role requires strong organizational and communication skills, as well as the ability to work in a dynamic, multilingual environment.

    Key Responsibilities

    + Manage outreach, intake, registration, and data entry for evening classes.

    + Support program promotion through community outreach and social media.

    + Maintain accurate participant data in ASISTS and internal databases.

    + Assist with testing, placement, and enrollment processes.

    + Respond to inquiries via phone, email, social media, and walk-ins.

    + Provide interpretation and translation support (Spanish or Russian preferred).

    + Organize student files (digital and physical).

    + Track attendance and assist with reporting.

    + Participate in staff meetings, trainings, and development opportunities.

    + Support audit preparation and funder visits.

    + Perform other duties as needed to ensure program success.

    Qualifications

    + Associate’s degree preferred (or high school diploma with some college coursework). Foreign degrees welcome.

    + Minimum 3 years of experience working with adults or in an educational setting; customer service experience a plus.

    + Strong interpersonal, communication, and organizational skills.

    + Ability to handle sensitive information with discretion.

    + Understanding of the needs of immigrant and adult learners.

    + Proficiency in MS Office, email, and databases (ASISTS or Salesforce preferred).

    + Bilingual in English/Spanish or English/Russian required.

    + Flexible availability for evening hours, with occasional daytime or weekend work.
