    About the Company

     

    Our client, a reputable and growing wealth management firm, is seeking a detail-oriented and proactive Administrative Assistant to support their team of financial advisors and operations staff. This role is integral in ensuring the smooth functioning of the office, providing excellent client service, and supporting daily business operations.

    Key Responsibilities

    + Administrative Support: Manage calendars, schedule meetings, coordinate travel arrangements, and prepare correspondence, reports, and presentations.

    + Client Interaction: Serve as the first point of contact for clients, handling phone calls, emails, and in-person visits with professionalism and discretion.

    + Document Management: Assist with preparing and processing client documentation, account forms, and financial reports while maintaining compliance with company policies and industry regulations.

    + Data Entry & Recordkeeping: Update CRM systems, maintain accurate client files, and ensure records are current and compliant.

    + Meeting Preparation: Coordinate client meetings, prepare materials, and follow up on action items to ensure seamless client service delivery.

    + Office Coordination: Order supplies, manage mail distribution, and assist with general office operations as needed.

    + Special Projects: Support financial advisors and leadership team with ad hoc projects, research, and reporting.

    Requirements

    Qualifications

    + 2+ years of experience as an Administrative Assistant, preferably within financial services, banking, or wealth management.

    + Strong organizational and multitasking skills with exceptional attention to detail.

    + Excellent verbal and written communication skills.

    + Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and CRM systems.

    + Ability to maintain confidentiality and handle sensitive financial information with discretion.

    + Professional, client-focused demeanor and ability to thrive in a fast-paced environment.
