POSITION PURPOSE

The Proposal Coordinator supports the development and production of qualifications, proposals, and marketing materials for public and private civil infrastructure projects.
Essential Functions
+ Ass i s t with th e coordin a tion of RFP / RFQ r es pon ses , from initi a l r ev i e w throu g h fin a l s ubmis s ion.
+ P r epare compli an c e m a tric es and tr a c k de li ve rabl es to ens ur e all propo s al r e quir e ments a r e met.
+ S upport k ic k off m ee ti ngs , int e rnal wor k sess io ns , and r ev i e w c y cl es b y pr epar i ng agendas , not es , and s c he dul es .
+ Compile, format, and edit written content from various contributors into cohesive,
+ client-ready documents.
+ Ensure consistent use of templates, headers, footers, logos, fonts, and styles in line with guidelines.
+ Organize and maintain version control of proposal files and ensure accurate final deliverables.
+ M aintain and updat e r es um es , proj e ct des criptions, or g c har t s , and s t andar d form s in t he com pany ’ s cont e nt libr ary .
+ Ass i s t with t he pr epara tion of v i s ual aids includi ng co ve r pages , info g r a phic s , and or g ani za tional c har t s .
+ P roofr ea d a nd e dit documents for g r a mmar, cl a rity, a nd compli a nc e .
+ Assist with final production of digital and printed proposals including quality checks and packaging.
+ Coordinate delivery logistics, including uploads to client portals or hand-delivery as
+ needed.
+ Ensure timely and compliant submittals across multiple simultaneous pursuits.
+ S upport cr ea tion of coll a ter a l s uch as c a p a bility s tatements, a w a rd s ubmittal s , pr ese nt a tio ns , comp a n y n e w s l e tter, a nd oth e r mar ke tin g m a teri a l s .

+ Performs other related duties as required and assigned.
Specific Job Knowledge, Skill and Ability
The individual must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job.
+ Exhibit professional and effective verbal and written communication skills.
+ Proficient Excel, Word, Outlook PowerPoint, and Adobe Acrobat; familiarity with Adobe InDesign is preferred.

EDUCATION/EXPERIENCE

+ 2+ yea r s of propo s al or m arke tin g coordination expe ri e nc e in t he construction, eng in eer in g , or a rchitectur e indu s tr y pref er r ed .
PHYSICAL REQUIREMENTS
+ Most time spent in an indoor office environment
+ Sitting at a desk for prolonged periods of time
+ Listening and speaking to others
+ Occasional lifting of files and boxes up to 20 lbs
+ Pushing/pulling of file cabinets
+ Extended visual use of a computer screen

Hourly rate: $26 - 40 Hourly
Relocation assistance will be provided to candidates outside of the local area on a case-by-case basis.
