    Position Summary

    The Operations Assistant will play a critical role in supporting the COO, Director of Operations, Regional Operations Manager, Administrators, and Clinical Managers by preparing routine reports, conducting data analysis, and providing actionable insights. This position is designed to reduce the administrative burden on operational leaders, allowing them to focus on staff management, accountability, and strategic initiatives. The ideal candidate will bring strong technical, systems, and analytical skills to deliver meaningful operational support that improves efficiency, decision-making, and clinic performance.

    Key Responsibilities

    + Generate, review, and distribute recurring operational and clinical performance reports.

    + Perform data analysis and create clear, actionable summaries and dashboards for leadership.

    + Partner with administrators and managers to identify trends, inefficiencies, and areas for improvement.

    + Maintain and enhance reporting systems to ensure accuracy, timeliness, and ease of use.

    + Support operations leaders with project coordination, documentation, and follow-up on action items.

    + Assist in monitoring clinic and regional performance metrics, including staffing, productivity, and patient access measures.

    + Streamline workflows and administrative processes to minimize manual reporting burdens.

    + Collaborate cross-functionally with Central Services to ensure data integrity.

    + Provide ad-hoc reporting and analysis as requested by the COO and Operations team.

    Qualifications

    Education & Experience:

    + Bachelor’s degree in Business Administration, Healthcare Administration, Data Analytics, or related field (preferred).

    + 1–3 years of experience in operations support, data analysis, or healthcare administration.

    Technical & Analytical Skills:

    + Proficiency in Microsoft Excel, Power BI, or other data visualization tools.

    + Experience with EMR systems, practice management software, or healthcare reporting platforms (preferred).

    + Strong ability to analyze data, interpret findings, and present actionable insights.

    + Familiarity with project management tools and reporting workflows.

    Other Skills & Competencies:

    + Highly organized with excellent attention to detail.

    + Strong written and verbal communication skills.

    + Ability to manage multiple priorities and deadlines.

    + Collaborative team player with a proactive, problem-solving mindset.

    + Comfortable working in a fast-paced, multi-site healthcare environment.
