Position Description
This position provides direct assistance with day-to-day operations, ensures the smooth functioning of the main office, and oversees select school-wide administrative support initiatives.
Primary Duties and Responsibilities
Lower School Administrative Support
+ Support the efficient management of the Lower School Main Office.
+ Serve as a point of contact for staff and students, reporting concerns to the appropriate Assistant Director and/or school administration.
+ Provide disciplinary support when needed, ensuring that students in the office for behavioral reasons remain quiet, focused, and engaged with assigned work.
+ Supply appropriate alternative assignments if students arrive unprepared or decline to complete assigned work.
+ Communicate promptly with teachers and parents regarding outcomes of minor to moderate behavioral office visits.
+ Assess the severity of infractions and determine whether they require escalation to the Assistant Director.
+ Collect uniform infraction forms, assign appropriate consequences for minor to moderate violations, and maintain accurate records.
+ Apply knowledge of school policies and procedures to enforce rules fairly and consistently.
+ Screen and direct incoming phone calls, mail, and visitors to the proper resources.
+ Facilitate clear communication between teachers and the Assistant Director.
Project Management and Administrative Execution
+ Oversee and facilitate the projector check-out process.
+ Manage building locker assignments and resolve related concerns.
+ Execute administrative projects assigned by the leadership team, including but not limited to:
+ Mailing attendance and suspension notices.
+ Sending academic documentation as requested.
+ Coordinating academic concern meetings.
+ Preparing reports for school administration.
+ Assisting with student incentive programs.
+ Monitor faculty/staff sign-in and sign-out sheets, raising concerns to the Assistant Director when necessary.
+ Manage the Assistant Director’s schedule and calendar.
+ Coordinate and monitor summer projects and related tasks.
+ Create purchase orders in collaboration with the Assistant Director and oversee submission to the Business Office.
+ Assign detentions and communicate attendance updates to the detention proctor.
+ Submit IT and Facilities Help Desk tickets as needed for building-related issues.
+ Provide administrative support at select before- or after-school events.
+ Perform general clerical and organizational tasks such as filing, data collection, sorting, and distribution of materials.
+ Coordinate and manage the morning announcements process in collaboration with school administration.
Knowledge, Skills, and Abilities
+ Ability to maintain a high degree of confidentiality and professionalism.
+ Strong oral and written communication skills.
+ Commitment to supporting and upholding school policies and procedures.
+ Demonstrated ability to manage projects proactively and ensure timely follow-through.
+ Proficiency in Microsoft Office (or equivalent), particularly in document formatting and advanced functions.
+ Skilled in using the school’s Student Information Management System.
+ Exceptional organizational, planning, and time-management skills.
+ Strong analytical, problem-solving, and decision-making abilities.
+ Keen attention to detail and accuracy.
+ Flexible, adaptable, and able to prioritize competing demands.
+ Team-oriented with a collaborative mindset.
Position Details
This is a full-time, 12-month position.
