Description
A prestigious financial services firm in Honolulu, Hawaii, is looking for a polished and detail-oriented Receptionist to support daily office operations and provide a positive first impression for clients. The ideal candidate will possess strong administrative skills, a professional demeanor, and excellent organizational abilities. Responsibilities:
+ Client Interaction: Greet and welcome clients in person and over the phone, ensuring they are directed to the appropriate department or team member.
+ Call Management: Answer and screen all incoming calls, routing them efficiently while providing accurate information to clients.
+ Calendar Coordination: Schedule and confirm client meetings, reserving conference rooms and ensuring they are prepared for use.
+ Mail Processing: Receive, sort, and distribute incoming and outgoing mail, packages, and important documents.
+ Administrative Support: Perform clerical tasks such as data entry, filing, copying, and preparing reports. Assist with maintaining client files and administrative records.
+ Office Organization: Monitor front desk supplies and office inventory, place orders as necessary, and maintain cleanliness and order in the reception area.
+ Travel Coordination: Assist with travel arrangements for executives and team members, including booking flights, hotels, and transportation.
+ Confidentiality: Maintain discretion while handling sensitive and confidential client or company information in compliance with industry standards.
Requirements
Qualifications:
+ Experience: Minimum of 2 years in a receptionist, administrative, or front-facing role. Experience in the finance, banking, or professional services industry is preferred.
+ Education: High school diploma required; associate degree or business-related coursework is a plus.
+ Skills: High attention to detail, multitasking, and problem-solving abilities.
+ Technology Proficiency: Familiarity with Microsoft Office Suite (Excel, Word, PowerPoint, Outlook). Experience with CRM systems or data software is a bonus.
+ Professionalism: Demonstrated ability to maintain a professional appearance, demeanor, and communication style in high-profile client interactions.
+ Interpersonal Skills: Strong communication and interpersonal skills, with the ability to create positive impressions for clients and visitors.
