We’re looking for an experienced Crew Hotel Relations Specialist to fill this remote role which reports to our Seattle, WA office. In this critical role you’ll be responsible for reconciling crew hotel and transportation invoices provided directly from vendors that are contracted through HA Group. You’ll also handle any reimbursement exceptions sent from the ships that need additional review and approval. Along with invoices and reimbursements, you’ll manage sourcing and contracting for all HA Group drydock hotel blocks.

Responsibilities
+ Maintain positive working relationships with contracted hotels, transportation companies and port agents by reconciling invoices in a timely manner while upholding policies to ensure costs are kept as low as possible.
+ Manage important live reference documents to ensure information (including policies) are accurate for payment validation and for tracking purposes. This requires Excel formatting knowledge (formulas, data validation etc.) and well as Track Changes within Word.
+ Effectively manage and communicate with internal and external contacts via email through a shared inbox.
+ Effectively communicate with ships and Payroll in a timely matter for any escalated crew reimbursement inquires using a shared inbox.
+ Reconcile crew hotel and transportation invoices to ensure timely and accurate payments.
+ Coordinate with drydock team to establish hotel needs for contractor hotel blocks, transportation, meeting rooms and meal arrangements. Manage sourcing and contracting for drydock hotel blocks, ensuring logistical needs are met.
+ Handle last minute changes and requests and resolve issues quickly.
+ Process supplier’s personal information to create payment profiles within our company in a timely manner.
+ Code Pcard transactions on high credit limit cards by deadlines.
+ Conduct virtual trainings for internal team members and external partners on new or updated processes.
+ Lead presentations in virtual meetings with internal and external contacts.
+ Collaborate across departments and maintain positive relationships with vendors and port agents.
+ Ensure coverage across all areas of the role within a small team, demonstrating versatility and reliability.
+ Make decisions that have short-term consequences but contribute to long-term strategic success.
+ Perform other duties as needed. Adhere to Corporate Policies and Procedures, including Code of Conduct, Audit Procedures and any control related responsibility.
Requirements
+ Bachelor’s degree in Accounting or equivalent experience.
+ Minimum 2 years of experience in invoicing or accounting environment.
+ Intermediate knowledge of Microsoft products including Work, Excel, Outlook Powerpoint and Teams.
+ Excellent communication, customer service and collaboration skills.
+ Must be legally authorized to work in the United States. Holland America is unable to sponsor or take over sponsorship of employment visas at this time (e.g., H-1B status).

+ Base Hourly Range: $18.94 -$25.58. The range is applicable for the labor market where the role is intended to be hired. Final base pay is directly related to each candidates' qualifications and experience uniquely.
