    Role Overview:

    This role is responsible for creating and assembling new contracts and amendments within the PeopleSoft Contract Management applications. Duties include drafting custom consultant contract amendments, reviewing contract cost terms in Appendix "D," and coordinating with contract negotiation staff to reconcile discrepancies. The position identifies and assigns agency contract collaborators and signatories, supports use of the SCM application, and transmits draft contracts to consultants while serving as the point of contact for questions regarding contract terms. The role provides support to consultants and vendors in registering with the State Auditor and Department of Administration, assists with electronic signature processes, and coordinates with senior staff to resolve disagreements. Additional responsibilities include preparing Executive Document Summaries, responding to State approver questions, tracking contracts in INDOT's PSCS application, and monitoring the signature process to ensure timely progress. The position coordinates the collection of Subconsultant Acknowledgement and Affirmative Action Certification forms, drafts consultant selection notification letters, and prepares consultant contract folders with required documentation. It also verifies consultant registrations with the Secretary of State and State Auditor, secures clearances from the Department of Workforce Development and Department of Revenue, prepares notice to proceed letters, and transmits executed contracts and purchase orders to consultants and INDOT personnel.

    Location:

    This position is located in INDOT's Central Office, Indianapolis.

    Salary:

    This position traditionally starts at an annual salary of $42,900.00. Salary for this position may be commensurate with education and job experience.

     

    A Day in the Life:

    The essential functions of this role are as follows:

    + Research and compile information on specific aspects of the program such as procedures, needs and policies.

    + Answer customer questions about program policies and procedures.

    + Establish, organize, and maintain current and historical files related to the program.

    + Assist in the preparation of program reports, develop applications, prepare budget allocations and/or purchasing of consultative services.

    + Maintain, monitor, and order program assets.

    + Assist supervisor in the development and planning of overall program and its role in the functioning of the agency.

    + Schedule, prepare, and disseminate all program related training materials.

    Supervisory Responsibilities/Direct Reports:

    This role may be utilized in a supervisory capacity based on agency needs.
