The Department of Family Medicine has an outstanding opportunity for a Residency Compliance Administrator to join their team.
Position Purpose
The primary purpose of this position is to ensure smooth operations and compliance of the Family Medicine residency program by maintaining accurate, up-to-date records for residents and graduates in accordance with Accreditation Council for Graduate Medical Education (ACGME) requirements and institutional policies. Using the resident management system MedHub, the position tracks medical licensure, DEA registration, case/procedure logs, and duty-hour reporting, resolving violations in collaboration with program leadership. Additional responsibilities include managing credentialing, overseeing resident and faculty evaluations, and supporting conference/didactic administration, Program Letters of Agreement, and ongoing LMS/eLearning training. The role also maintains the advisor/advisee roster and ensures completion of all verification forms for current residents.
Position Complexities
The Residency Program Regulatory & Compliance Administrator manages complex ACGME accreditation requirements by administering MedHub evaluation tools, monitoring resident records, duty-hour data, procedure logs, and training-site agreements. The incumbent collects and analyzes key metrics for continuous program improvement and accreditation readiness, working closely with the Program Director (PD) and Program Administrator (PA). Current knowledge of ACGME Family Medicine, American Board of Family Medicine (ABFM), and UW GME standards is required to ensure each resident remains on track for graduation and board eligibility.

DUTIES AND RESPONSIBILITIES
_Evaluation System Oversight (40%):_
+ Possess specialized program knowledge in the MedHub resident evaluation system to create and track electronic physician performance evaluations for over 30 residents and faculty in compliance with ACGME requirements.
+ Oversee the end-to-end evaluation process: designing and editing evaluation forms; ensuring accurate distribution to all applicable residents, faculty, rotations, and staff, guaranteeing timely completion of all evaluations needed for program improvement, accreditation and faculty merit reviews.
+ Collect and analyze rotation-specific evaluations, generate summary reports, and compile findings for review by the Program Evaluation Committee (PEC) to inform decisions on curriculum structure, faculty teaching, and site effectiveness.
+ Collect and manage resident milestone evaluations, generate reports for the Clinical Competency Committee (CCC), and ensure appropriate documentation of resident progress toward ACGME milestones and graduation readiness.
+ Collaborate with the Program Director, Program Administrator, and core residency faculty to analyze evaluation data, identify trends, and recommend actionable improvements for curriculum design, teaching effectiveness, and overall program quality
_Residency Compliance and Monitoring (40%):_
+ Maintain accurate and up-to-date files for current residents and program graduates within the institutional residency management database, ensuring compliance with ACGME and institutional policies.
+ Process verification forms and letters for current residents and graduates as required for credentialing and future employment.
+ Track and monitor required resident documentation including medical licensing, DEA registration, and and all other required credentialing and licensing requirements to ensure up to date records.
+ Oversee compliance with clinical and educational work hours, tracking violations and working with program leadership to resolve issues.
+ Monitor case and procedure log reporting, ensuring residents meet specialty-specific procedural requirements.
+ Facilitate the annual education and training modules for residents through the Learning Management System (LMS) and eLearning Gateway.
+ Manage list of Program Letters of Agreement (PLAs) required for training site experiences, collaborating with the GME Office to update agreements and initiate new rotation site requests. Initiates new rotation site requests for resident (or fellow) educational experiences.
+ Supports the coordination of weekly didactics and residency conferences, including maintaining the annual didactic schedule, organizing teaching materials, submitting attendance, distributing evaluations, and communicating with faculty, residents, and external speakers to confirm teaching sessions and logistics.
_Residency Event and Program Operations (15%):_
+ Coordinates and provides administrative support for key residency events, including orientation, graduation, retreats, and other program-wide activities. Responsibilities include event planning, logistics coordination, stakeholder communication, and on-site support to ensure smooth execution.
+ Provides general administrative support to ensure efficient residency operations, including staffing the Northgate Residency Office, assisting with event logistics, and performing other duties as needed to support the program’s educational mission.
_Other Residency Related Duties assigned (5%)_
MINIMUM REQUIREMENTS
+ Bachelor's degree in medical and/or education administration or related field
+ AND 2-3 years of experience; or equivalent experience.
_Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration._
ADDITIONAL REQUIREMENTS
+ Experience with medical education specifically in an ACGME Residency Program and Primary Care Clinic.
+ Effective interpersonal skills to interact with diverse groups in a team environment.
+ Communicate efficiently and effectively at all levels.
+ Experience performing analysis activities, design, implementation, evaluation, training, and maintenance or equivalent experience.
+ Knowledge of business systems analyst duties and key contributor in both project and operational support environments.
+ Experience as a functional leader or key contributor in complex collaborative projects that have required significant business process change.
+ Proven ability to represent business stakeholders effectively, and translate between business and technical requirements.
+ Experience working with both internal and contract resources to solve business problems and implement solutions.
+ Experience preparing for and managing organizational change.
+ Excellent oral and written communication skills.
+ Ability to speak and write about technical issues for both technical and nontechnical audiences. Ability to navigate in a complex, diverse technology environment.
+ Ability to manage time effectively while working back and forth between project and operational support tasks.
+ Ability to work in an environment with interruptions. Ability to multi-task, change assignments as needed and prioritize workload. Simultaneously juggle multiple tasks.
+ Demonstrated ability to work independently with minimal supervision.
+ Outstanding organizational skills, detail-oriented and the ability to work in a deadline driven environment. Strong initiative and follow-through along with problem-solving.
+ Ability to maintain positive work atmosphere and handle confidential or sensitive information.
+ Experience with UW systems – Office 365, MedHub, Wordpress, FilemakerPro, Adobe

Pay Range Minimum:
$69,720.00 annual
