    THE ROLE

    The SIS Coordinator plays a critical role in ensuring the accuracy, integrity, and efficiency of Tulsa Legacy Charter School’s (TLCS) Student Information System (SIS). This position is the organization’s primary SIS expert, serving as the first point of contact for all SIS-related questions and needs. The SIS Coordinator manages all SIS functions, state and district reporting requirements, and student records management. In addition, the SIS Coordinator provides administrative and operational support, including assisting with front office coverage when needed, to ensure smooth daily operations across campuses.

     

    This is a 12-month role that reports to the Director of District Operations.

    OPERATIONS TEAM STRUCTURE

    The Operations team comprises the Primary Academy Office Manager, Upper Academy Office Manager, District Nurse, SIS Coordinator, Director of Campus Operations, and the Director of District Operations.

     

    Operations team members work closely with the site-level Leadership Teams at each school site (Primary Academy and Upper Academy).

    QUALIFICATIONS

    Required

    + Strong proficiency in student information systems (PowerSchool preferred) and the ability to serve as the primary SIS expert and resource for the organization.

    + Experience with data management, compliance reporting, and school-based operations.

    + Excellent organizational skills, detail orientation, and ability to manage multiple priorities.

    + Strong communication skills, with the ability to provide clear guidance to staff and families.

    + Ability to maintain confidentiality and manage sensitive student information.

    Preferred

    + Bachelor’s degree.

    + Prior experience in a registrar or data management role in K–12 education.

    + Familiarity with Oklahoma SIS reporting systems (Wave, Single Sign On, etc.).

    + Experience with PowerSchool administration (setup, scheduling, troubleshooting, training).

    + Bilingual (Spanish/English) preferred but not required.

    + Willingness to grow and develop expertise further, with professional development support provided by TLCS.

    KEY RESPONSIBILITIES Student Information System (SIS) Management

    + Serve as the primary administrator for PowerSchool and all connected applications (e.g., Clever, Wave, state reporting systems).

    + Oversee annual SIS rollover processes, including:

    + End-of-Year: archiving data, withdrawing students, and cleaning staff profiles.

    + Start-of-Year: configuring calendars, rostering/scheduling students, setting up attendance and gradebook policies, and managing transcripts.

    + Maintain accurate and secure student records, including demographics, enrollment, grades, and course data.

    + Conduct regular data audits to ensure integrity and resolve discrepancies.

    + Generate and analyze reports for leadership, compliance, and audits.

    + Deliver training and ongoing support to staff on SIS usage, ensuring consistency and accuracy.

    + Collaborate with IT and vendors to troubleshoot issues, manage upgrades, and enhance system performance.

    Compliance & Reporting

    + Monitor and complete all required local, state, and federal reporting tasks tied to student data, ensuring TLCS remains in full compliance.

    + Prepare and submit key state and federal reports, including but not limited to:

    + October 1 Consolidated Report (enrollment/demographics)

    + FQSR (Financial Quarters Statistical Report) and related Wave submissions

    + ASR (Annual Statistical Report) and other end-of-year submissions

    + Accreditation compliance reporting required by OSDE and accrediting bodies

    + Truancy reporting in alignment with state law and district policy

    + Maintain complete documentation of submissions, corrections, and supporting records to ensure readiness for audits, accreditation visits, and state monitoring reviews.

    + Ensure accuracy of student records through document verification cycles (e.g., transcripts, immunizations, cumulative folders, and transfer requests).

    + Troubleshoot errors and discrepancies in Wave and other platforms to ensure data integrity.

    + Collaborate with operations leadership to validate data tied to funding allocations, accountability metrics, and compliance audits.

    + Lead compliance processes related to truancy, ensuring accurate attendance records and coordinating with the attendance committee and counselor on interventions and follow-up actions

    Administrative & Operational Support

    + Provide front office coverage during staff absences, peak times, or as assigned.

    + Assist with transcript requests, records transfers, and enrollment-related communications.

    + Support operational workflows that require student data or administrative documentation.

    + Collaborate with office managers and campus operations to ensure smooth day-to-day functioning.

    SCHEDULE OF SERVICE

    + Length: 12 months

    + Start Date: July 1

    + Evaluation: Twice per year by the Director of District Operations

    + Hours: 40–45 hours per week, typically 7:20 am – 4:00 pm, Monday–Friday

    + Additional Expectations: May require occasional evening/weekend hours for enrollment or reporting deadlines.

    + Location: Primarily on campus at TLCS sites (Primary Academy and Upper Academy), with some travel between campuses as required.

     

    Compensation: This role starts at $40,000 annually, with the potential for higher placement (up to $52,000) based on relevant experience, qualifications, and additional responsibilities.
