The College of Arts & Sciences (CAS) has an excellent opportunity for a Research Administrative Specialist.
The College of Arts & Sciences secures more than $133 million annually in research funding across 39 departments and centers spanning four academic divisions: natural sciences, social sciences, arts, and humanities. Approximately 60% of this funding is awarded by federal agencies, primarily the National Institutes of Health (NIH) and the National Science Foundation (NSF), with additional support from foundations, associations, non-profits, government entities, international partners, and private industry. The diversity of funding sources and the breadth of interdisciplinary research make the College a uniquely dynamic environment for research administration.
The College Dean’s Office is currently launching a new shared services center to provide integrated pre- and post-award support for selected departments. We are seeking a highly motivated **Research Administrative Specialist** to join this new initiative. This role will report to the Director of Research.
This position works independently and responsibly, while acting within the University's policies and procedures. The job responsibilities for this position include reviewing and approving grant and contract proposals on behalf of the Dean, answering compliance questions and trouble-shooting process problems, managing the weekly funding announcement newsletters, web content management, data analytics, meeting planning, and special projects. It is an ideal position for someone wanting to join the research administration workforce at the ground level.
DUTIES AND RESPONSIBILITIES
SPONSORED RESEARCH
+ Review and approve the SAGE eGC-1 and grant proposals from authorized Principal Investigators within the University of Washington on behalf of the Dean of the college.
+ Ensure proposals meet and comply with College, University, Federal and/or Non-Federal sponsor regulations.
+ Work with PIs or the proposal preparer to resolve any issues for proposal submission.
+ Work closely with the Director of Research to ensure PIs and Departments submit proposals on time and in compliance with UW and sponsor guidelines.
+ Escalate compliance issues to the Director of Research, including PI eligibility and cost share commitments.
+ Follow up as necessary with Principal Investigators and departments to resolve outstanding issues. When needed, guide departments through the GIM 19 waiver process when the internal deadline for a proposal cannot be met.
+ Serve as a liaison to the Office of Sponsored Programs, as needed.
+ Assist Principal Investigators and department staff with proposal preparation questions related to business elements of applications.
+ Provide information to the College community regarding grant applications, SAGE (System to Administer Grants Electronically), Grants.gov and other on-line tools. Identify issues such as cost sharing, sponsor regulations, and Office or Research policy updates that impact the College and advise the Associate Dean, Executive Staff, and department administrators as appropriate. Update the College website as appropriate.
+ Help develop documentation on policies, procedures and best practices for College specific issues related to sponsored research.
+ Communicate internal sponsors (RRF, Bridge) deadlines and forward “Limited Submission” grant RFPs from Office of Research to CAS units.
+ Answer questions and provide expertise on College, University and sponsor policies, as well as research opportunities, regulations, deadlines, matching support process, and proposal submission procedures.
+ Understand and communicate College’s PI eligibility guidelines, maintain record of “exceptions” as granted to the Associate Dean of Research.
+ Manage the monthly newsletter featuring curated grant opportunities and funding announcements.
ADMINISTRATION
+ Assist the Associate Dean for Research with financial analyses, Dean’s approval requests, matching requests, and coordination of funding strategies to support research programs and infrastructure. This includes drafting reports to the Vice Provost of Research.
+ Manage weekly team meetings and monthly CAS Grants Workgroup meetings, and provide technical land logistical support
+ Maintain and update content within the Research section of the College’s Administrative Gateway (website). Check links regularly.
+ Add and delete authorized role-based access to SAGE, ECC and BI Portal.
+ Support team process improvement projects.
+ Special Projects as required.
MINIMUM REQUIREMENTS
+ Bachelor’s Degree
+ Three years’ experience working in positions of increasing complexity and/or responsibility
ADDITIONAL REQUIREMENTS
+ Strong written, digital and oral communication skills including tact, diplomacy, and discretion
+ Demonstrated ability to use Microsoft Excel, Word and Outlook, Microsoft Teams and Zoom
+ Demonstrated attention to detail and strong problem-solving skills
+ Ability to re-prioritize workload to manage ‘just in time’ grant submissions and reviews
+ Ability to work independently, professionally, and proactively with a high degree of reliability and accuracy
+ Demonstrated collaborative work style and ability to work well in a diverse workplace with many different academic and research units
+ Proven organization and multi-tasking skills in a fast-paced, demanding environment
DESIRED QUALIFICATIONS
+ Experience in higher education, government or not for profit organizations
+ Experience with grants management
Compensation, Benefits and Position Details
Pay Range Minimum:
$61,512.00 annual
Pay Range Maximum:
$92,280.00 annual
