    Job Description Summary

    Reporting to the Operations Manager for University Life Space and Events Management (ULSE) the Operations Coordinator is responsible for monitoring the daily operation of ULSE facilities including the student Center at Houston Hall, Irvine Auditorium, and the ARCH. This includes addressing equipment and facility cleanliness, clerical work for smooth facility operation, serving as a customer service point person, performing opening and closing of the facility, assisting with room set ups and take downs, supporting basic Audio/Visual needs, and assisting with training and supporting staff including student employees.

    Job Responsibilities

    + Monitors activities in ULSE managed spaces and University Life spaces on a flexible schedule primarily during evening, early morning and weekend hours, also including weekday hours and holidays as scheduled.

    + Supports the operations, services, and facilities to ensure a consistent and continuous professional staff presence.

    + Serves as a customer service point person actively greeting and assisting patrons, performing opening and closing procedures.

    + Assist with room set-ups and take-downs and supports basic Audio/Visual needs.

    + Monitors building conditions and completes regular building walkthroughs throughout the day for patron interaction, venue conditions, identifying facility issues, and staff support.

    + Performs area inspections, inventories, and submits work requests.

    + Works closely with Housekeeping to ensure optimal building conditions.

    + Prepare Operational reports/proposals and perform special operational projects as assigned.

    + Work with the University of Pennsylvania Police Department and Penn Security Services to ensure the safety and security of the complex.

    + Other duties and responsibilities as assigned.

    Qualifications

    + A high school diploma/GE Degree and 3 to 5 years of experience or equivalent combination of education and experience in campus/student center, conference center, hotel, other venue management, or similar hospitality/event operations required.

    + A bachelor’s degree plus two to three years’ experience is preferred.

    + Strong customer service and interpersonal skills required.

    + The ability to be self-directed, work with minimal supervision, and with a diverse student and administrative population is essential.

    + Knowledge of facility and event equipment and logistics, as well as audiovisual equipment, is preferred.

    + Some physical activity in all weather conditions, such as traveling from building to building, and moving heavy equipment is required.

    + Ability to interact positively and proactively, and be adaptable to changing event circumstances is required.

    + Must be able to work a flexible schedule, including evenings, weekends, and holidays, in addition to traditional business hours, is essential.
