    The Data Capture and Reporting Specialist supports the Division of HIV Medicine (DHIVM) by managing data collection, reporting, and quality improvement activities under the direction of the HIV Quality Manager and Senior Applications Specialist. This role ensures compliance with Health Resources and Services Administration (HRSA) and NYS Department of Health AIDS Institute requirements while exercising independent judgment in meeting deadlines and maintaining data accuracy.

    ESSENTIAL RESPONSIBILITIES:

    Under the direction of the HIV Quality Manager and the Senior Applications Specialist, and consistent with the Health Resources and Services Administration (HRSA) and NYS Department of Health AIDS Institute requirements, the incumbent is expected to exercise independent judgment and decision making regarding the following:

    + Data Reporting, including but not limited to generating and formatting monthly and quarterly performance reports, work plan updates for grant-funded programs, data needed for grant applications, and other reports requested by managers, senior applications specialist, or program coordinators. The incumbent keeps a schedule for routine/standing reports and produces reports by deadlines, without prompting.

    + Presentation of performance data in table and graphic format

    + Data Collection including extracting information from completed data sheets, medical records, and other data sources

    + Data Entry to data base, including entry of collected information, program enrollments and closures, client level data, and other data entry as needed

    + Routine monitoring of client level data via "tickler reports", assuring data completeness prior to monthly extract submission to the AIDS Institute

    + Technical assistance to Division of HIV Medicine (DHIVM) staff related to AIRS (AIDS Institute Reporting System) and other data related issues

    + Participation in quality improvement activities including spot checks to assure accuracy of program data and other activities to better meet staff needs and grant requirements

    + Participation in meetings including but not limited to data team meetings, program­ specific data meetings, and DHIVM full staff meeting

    + Maintain organized filing system accessible to DHIVM data team

    + Compliance with AMC, Department of Medicine, and DHIVM policies

    + Complete education as required by AMC, Department of Medicine, DHIVM, or manager

    + Compliance with HIPAA and NYS HIV Confidentiality Law

    ADDITIONAL RESPONSIBILITIES:

    + Maintain printers, copiers, and related equipment

    + Assist staff with printer and copier troubleshooting

    + Replace toner cartridges in printers and copiers as needed

    + Track and maintain stock of toner for all printers and copiers, assuring there is always a replacement cartridge for each printer/copier

    + Coordinate with fiscal coordinator or practice coordinate to order toner, as needed

    + Maintain inventory of DHIVM computer equipment, regularly update loaner laptops; track equipment loaned to providers and staff

    + Set up equipment needed for conference calls and webcasts, as requested by managers

    + Create Word and Excel documents

    + Complete special projects, as needed

    + Consistent with the responsibilities of Data Capture and Reporting/ASA VII and the needs of the DHIVM operations, other duties may be assigned on an on-going, "as needed" basis.
