Cornell Cooperative Extension of Niagara County has an opening for a Facilities Coordinator working 37.5 hours per week from the Lockport, NY office.
The Facilities Coordinator will assist with cleaning and maintaining the Association’s grounds and physical facilities to ensure the safety of staff, volunteers, participants, and the public. The coordinator will follow daily, weekly, and monthly cleaning schedules including, but not limited to, the office areas, bathrooms, storage areas and entrances.
The Facilities Coordinator is also responsible for preparation of facilities for meetings, rentals, & events (including the county fair); mowing; snow removal; repairs; minor carpentry and construction projects; maintenance/repair of equipment; storing rental vehicles; set up/breakdown; and assisting with coordinating facility needs with the Facilities Manager, Executive Director and/or designated staff/volunteers. Will assist the Facilities Manager with ensuring OSHA/PESHA safety regulations are followed.
REQUIRED QUALIFICATIONS • Associate’s degree plus experience relevant to the role of the position. High School diploma/GED plus 1-year transferrable program/functional experience may substitute.• Valid NYS Driver’s License.• Ability to meet travel requirements associated with this position. • Ability to meet acceptable background check standards.• Ability to work flexible hours, which may include evenings and/or weekends, as appropriate.• Ability to clearly communicate (speak, read, and write proficiently) in English.• Ability to operate a lawn mower, snow blower, and related grounds/maintenance equipment.• Knowledge of cleaning, maintenance, and repair methods, materials, and techniques applicable to public buildings. • Demonstrated ability to provide cleaning, maintenance, and repair work. • Ability to identify and address safety concerns in the workplace.• Reliability and competence with building mechanicals, plumbing and electrical operations. • Ability to work cooperatively with commercial maintenance and repair services on occasion. • Ability to perform basic carpentry.• Ability to operate tractors and/or other large equipment.• Ability to climb and perform work from a ladder. • Ability to follow oral and written instructions and assume responsibility with general guidelines and direction.• Ability to plan and organize work responsibilities according to priorities developed with the immediate supervisor. • Ability to work effectively with the public and co-workers. • Ability to communicate with supervisor and staff as pertains to the duties of the job. • Ability to work independently as assigned and problem-solve as appropriate to the situation.• Ability to use windows-based software including use of the internet and e-mail.• Physical ability to do heavy lifting (able to lift and carry 50 pounds), shovel snow, and carry/load/unload supplies and equipment. • Ability to perform the following functions with or without reasonable accommodation: frequently work in outdoor weather conditions including extreme heat, precipitation and cold; frequently lift, move or transport facility materials, office and landscaping waste; and constantly perform cleaning and maintenance tasks by frequently positioning self (for example, pulling, bending, reaching, touching, kneeling, using hands to feel/reach, climbing stairs and ladders). While performing the duties of this job, the employee is regularly exposed to work near moving and/ vibrating mechanical parts. The noise level in the work environment is typically moderate and occasionally very loud, especially when using equipment like lawnmowers, leaf blowers, snow blowers, etc.
PREFERRED QUALIFICATIONS • Ability to perform basic welding.• Ability to perform basic vehicle maintenance and repairs.
ESSENTIAL FUNCTIONS Administrative Management - 10%• Assist with developing and maintaining written plans and records for facility, equipment, and grounds, including but not limited to maintenance records, seasonal work plans, fire extinguisher and heating system annual maintenance, winterization of buildings and equipment. • Assist with developing and managing building and equipment maintenance schedules. • Assist with creation and maintenance of emergency preparedness plans. • Assist with aligning resources to identify contractors and outside vendors for identified needs.• Serve as the staff liaison to the Board of Directors’ Property Committee and attend the committee meetings, as necessary.
Administrative Coordination/Operation - 85%General: • Assist with routine ordering of cleaning supplies, building materials, maintenance items, etc. to ensure adequate supplies and materials are available to conduct grounds keeping and custodial tasks.• Collaborate with the Facilities Manager to keep an inventory of all supplies and equipment.• Comply with established health and safety regulations and guidelines including OSHA/PESHA regulations. • Safely operate all vehicles and other job-related equipment.• Follow instructions regarding the use of chemicals and supplies. • Under the direction of the Facilities Manager, record use and storage of all chemicals and cleaners utilized in MSDS record book as required.• In collaboration with the Facilities Manager, maintain all equipment operating manuals and maintenance records.• Interact with clientele, staff, volunteers, and the public in a courteous and respectful manner at all times.• Collaborate with Facilities Manager to schedule contractors, volunteers, or other resources to address facility, maintenance, and storage needs.• Work collaboratively with the Facilities Manager and Work Release Program to provide input on necessary and required maintenance tasks.• Prepare and submit accurate expense reports, mileage reports, receipts/supporting documentation, and/or vouchers in a timely manner per established policy and procedures. • Maintain confidentiality of all information and data collected, accessed, and/or maintained.• Provide data and information to assist with preparation of reports, impact statements, and success stories for funders, advisory committees, Board, and others as requested.• Transport self and/or program materials/resources necessary for performing position responsibilities.
Grounds and Building Maintenance: Under the direction of the Facilities Manager:• Clean and maintain all public areas, restrooms, meeting rooms, and offices; removing all garbage, trash, and recyclables; cleaning and maintaining appliances and equipment such as refrigerators, stoves, hot water heaters, furnaces, lawn mowers, tractors, floor scrubbers, etc. • Set up and tear down meeting facilities. • Assist with arranging for / performing deliveries and errands.• Under the direction of the Facilities Manager, provide general maintenance and repairs, such as minor plumbing, electrical, carpentry, roofing, flooring, and painting as required. Alert Executive Director of any major problems or repairs needed. • Remove snow and ice from walks, roofs, driveways, and parking lot as needed. • Maintain lawn and landscaping as needed.• Collaborate with staff to ensure the buildings and grounds are prepared for educational programming.
Rental/Building Usage:Under the direction of the Facilities Manager:• Consult rental/usage/ Sign-out calendar daily for information regarding buildings and grounds use.• Make arrangements for buildings to be opened and closed as per rental/storage needs and schedule.• Serve as the contact for buildings and grounds issues and emergencies outside typical office hours.• Check facilities after use by renters and report damage to Executive Director.• Set up chairs, tables or any other equipment as specified.• Assist with storage and removal of winter storage vehicles.
Vehicle Maintenance: • Assist with maintaining safe and reliable Extension vehicles by scheduling routine maintenance and inspections as required including oil change, antifreeze, etc., and also repairing vehicles as appropriate.
Professional Improvement - 5%• In cooperation with the Supervisor, jointly develop and pursue a professional development plan as a means to increase competencies relative to position accountabilities and to address changes in programming and association priorities.• Participate in all required orientation, training, and/or in-service meetings and events as scheduled/required.
Health and Safety - Applies to all duties and functions• Support the association to maintain a safe working environment.• Be familiar and strive to follow any applicable federal, state, local regulations, association health and safety policy/procedure/requirement and standard.• Act proactively to prevent accidents/injuries and communicate hazards to supervisors when identified.
Policy and Other Duties as Assigned - Applies to all duties and functions• Collaborate in activities that are in general support of Cornell Cooperative Extension including but not limited to attendance at staff meetings, timely reporting of expenses, working with other staff, general marketing of Cooperative Extension programs and other duties as assigned. • Conduct all programming and activities in accordance with applicable federal, state, and local laws and regulations. • Aware of, and adheres to, established Cornell Cooperative Extension Association policies, procedures, processes, and Skills for Success. • Represent Cornell Cooperative Extension to the public, community leaders, colleagues, volunteers, members of Cornell University faculty and staff, government officials and the general public in a professional manner at all times. • Perform all assigned duties in a professional, timely, and accurate manner.• Maintain regular and predictable attendance and punctuality.
