SUMMARY:

ESSENTIAL FUNCTIONS:

Front Desk:
+ Greet clients, visitors, and guests, and then directs them to the appropriate location after determining the purpose of their visit and confirming their entrance to the office is permitted.
+ Answers phone and serves as the first point of contact for the company’s main telephone line and directs calls to the appropriate parties.
+ Provide callers with general company information such as addresses, directions, fax numbers, website URLs, etc.
+ Maintain the corporate office directory, sending out updates to appropriate parties.
+ Receives mail, documents, packages, and courier deliveries and distributes items to the appropriate parties.
+ Alerts corporate in-office staff of any emergency weather situations, corporate lockdowns, etc. and advises, in coordination with the Office Manager, of the next steps.
+ Monitors supply levels and orders when appropriate, processes supply orders received, and serves as the point person for supplies related concerns.
+ Provide phone metric data monthly.
+ Performs administrative and clerical support tasks.
Recognition and Employee Engagement:
+ Work closely with the Office Manager and HR, when appropriate, to review, approve, and process awards.
+ Manage the recognition follow-up processes.
+ Assist in coordinating and executing monthly employee engagement events.
+ Assist with various corporate communications.
+ Assist with planning and execution the annual awards dinner.
+ Responsible for handling, processing, and communication of various lifesaving awards.
Miscellaneous:
+ Maintain coffee station and assume dishwasher duties.
+ Build relationships and develop and maintain intentional partnerships with current and potential coworkers across the organization and within facilities.
+ Serve as backup support for AmTrav inquiries during normal operating hours.
+ Prioritize multiple tasks successfully and efficiently.
+ Maintain an accurate and up-to-date strategic planning manual with continuity BUS plan and goals.
+ Perform all other duties as assigned.
TRAINING EXPECTATIONS:
Associates in this role are expected, as a condition of employment, to complete all training assigned within a reasonable time period, generally within less than 15 days.

To be successful in the organization, associates should have a high EQ. This is necessary to communicate productively, to build and maintain relationships, to recognize and reduce stress, to defuse conflict situations and to increase job satisfaction.
SUPERVISORY RESPONSIBILITY:
This is not a supervisory position. This position does not have the authority to hire, fire, discipline, discharge, assign overtime, and/or direct and assign work, with the ability to effectively recommend any of these actions. This role also serves as a coach and mentor for other employees.
WORK ENVIRONMENT:
This job operates in a clerical office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. This isnota hybrid, telecommute or remote role. This role is 100% in-office.
PHYSICAL DEMANDS:
This is largely a sedentary role; however, some filing is required. This would require the ability to lift files and boxes, open filing cabinets, and bend or stand, as necessary.
POSITION TYPE/EXPECTED HOURS OF WORK:
This is a full-time position. Days and hours of work are Monday through Friday, 8 a.m. to 5 p.m. Evening and weekend work may be required as job duties demand.
TRAVEL:
This position rarely requires travel.
Qualifications
REQUIRED EDUCATION AND EXPERIENCE:
+ HS Diploma or GED required
+ Associate's Degree preferred
+ 2+ years of related experience
+ Strong Microsoft Office, Internet, and email skills
+ Great attention to detail
+ Ability to work independently with initiative.
+ Highly organized
+ Basic Life Support (BLS) certification; hands-on training (we will train you) preferred
