Role and Responsibilities
The Facilities & Events Coordinator is responsible for managing Jackson County’s Facilities Rental Program and driving event-based tourism efforts. This role oversees public rentals of County-managed venues—including the Endeavor Convention Center, Russ House, Agricultural Center, UF/IFAS Extension Office, Citizen’s Lodge, and more—and acts as the primary liaison between renters, vendors, and facility staff. The coordinator also plays a strategic role in creating, planning, and attracting events that generate economic impact and overnight stays in Jackson County.
Essential Job Functions
+ Oversee daily operations of the County’s venue rental program, ensuring exceptional service delivery from inquiry to post-event wrap-up.
+ Manage CivicRec software including reservations, payments, deposits, refunds, invoicing, and reporting.
+ Maintain rental schedules and calendars; coordinate availability with internal staff and facility managers.
+ Serve as main point of contact for all venue rentals, facilitating walkthroughs, communications, and contract execution.
+ Collect and track all necessary documents (insurance certificates, rental agreements, licenses, permits, etc.).
+ Evaluate venues post-event and use discretion in determining appropriate deposit deductions in cases of damage, unclean conditions, or violations.
+ Develop proposals for meetings, conventions, expos, and other events that utilize County facilities and contribute to tourism growth.
+ Prepare full event proposals including space rental pricing, set up logistics, A/V or equipment needs, advertising strategies, and room block coordination.
+ Collaborate with hotels and lodging providers to create room block packages and promote extended visitor stays.
+ Identify and pursue opportunities for events that align with Jackson County’s strategic goals and boost local tax revenue through overnight visitation.
+ Lead the planning, coordination, and execution of County-owned events designed to promote tourism, generate economic activity, and support local tourism-related businesses.
+ Identify opportunities for signature events such as festivals, expos, seasonal activities, educational workshops, or heritage celebrations aligned with Jackson County’s tourism brand.
+ Develop event concepts, timelines, budgets, run-of-show schedules, and logistics plans.
+ Coordinate all event logistics including securing venues, permits, vendors, entertainers, and required staffing.
+ Work collaboratively with the Tourist Development Council and other partner organizations to expand reach and build collaborative programming.
+ Monitor and analyze attendance, revenue impact, and visitor data to evaluate success and inform future events.
+ Ensure each event is visitor-ready and reflects a high level of hospitality, professionalism, and community pride.
+ Create content for use on official County and tourism social media platforms including: Visit Jackson County, Fla, Endeavor Convention Center, Historic Great Oaks, Jackson County BOCC
+ Develop promotional assets for facility rentals and County-hosted events, such as digital flyers, social media posts, brochures, and calendar listings.
+ Work with local partners to amplify events and ensure alignment with destination marketing efforts, such as but not all inclusive: Jackson County Chamber of Commerce, Jackson County Economic Development Committee, Main Street Marianna, etc.
+ Coordinate with event vendors such as caterers, audio/visual providers, decorators, rental companies, and custodial staff.
+ Arrange for and coordinate security, public safety, or custodial services as needed based on event type and scope.
+ Ensure vendor compliance with insurance and licensing requirements.
+ Enforce all County policies and procedures related to venue use, capacity, alcohol service, safety protocols, and scheduling.
+ Perform site walkthroughs before and after events as needed.
+ Be present for large or high-impact events, including evenings and weekends, to provide on-site support and ensure smooth operations.
+ Track and report on facility usage, revenue generation, event attendance, and economic impact.
+ Monitor trends and provide recommendations for pricing updates, process improvements, and software efficiency.
+ Assist in the annual budgeting process and strategic planning for facility upgrades or program enhancements.
+ Perform any and all other duties as assigned.

Qualifications and Education Requirements
Associate’s or Bachelor’s degree in Event Management, Hospitality, Public Administration, Business, or related field (or equivalent professional experience). 2–4 years of experience in venue management, event coordination, or hospitality operations. Proficiency with scheduling/reservation systems (CivicRec preferred). Strong communication, organizational, and customer service skills. Ability to manage multiple projects, deadlines, and stakeholder relationships simultaneously. Experience with event marketing, social media content creation, and tourism-based initiatives. Flexible schedule including availability for nights, weekends, and holidays. Familiarity with public sector operations, event compliance, or tourism development is a plus. A comparable amount of training and/or experience may be substituted for the minimum qualifications. Must have a valid driver’s license prior to employment.

Additional Requirements
Physical Requirements: Must be physically able to operate a variety of automated office machines including computers, typewriters, copiers, facsimile machines, etc. Must be physically able to operate a motor vehicle in a safe manner. Must be able to exert up to 20 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Physical demand requirements are in excess of those for Sedentary Work. Light Work usually requires walking or standing to a significant degree. However, if the use of arm and/or leg controls requires exertion of forces greater than that for Sedentary Work and the worker sits most of the time, the job is rated for Light Work.

Physical Communication: Requires the ability to talk and/or hear: (talking- expressing ideas by means of spoken words; hearing - perceiving nature of sounds by ear). Must be able to communicate via telephone.
Environmental Conditions: The employee is required to work inside, outside, and in close contact with others. The noise level in the work environment is minimal to moderate.
