Description
The City of Garden City is accepting applications for Records Clerk with the Police Department. This position provides law enforcement and public safety services to the community to include answering incoming telephone calls, recording information for referral, and performing clerical activities.
Examples of Duties
+ Operation of Telephone Equipment. The Records Clerk is responsible for answering incoming phone calls during the shift. The Records Clerk will record the information to insure proper referral to the appropriate personnel or agency.
+ Prioritizes requests for service. The Records Clerk will prioritize all requests for services based on the nature of the request and availability of personnel. They will refer the request to the appropriate personnel so that action can be taken.
+ Transcription of Reports. The Records Clerk may be assigned the responsibility for receiving dictated recordings from department personnel and transcribing them in the approved format.
+ Operation of Computer. The Records Clerk will enter calls for service, reporting party information, driver’s license and vehicle registration information and other information into the computer. They will retrieve information from the computer to provide support to the other divisions or other agencies.
+ Process of Reports, Calls for Service. The Records Clerk will be responsible for documenting the requests of other agencies on the appropriate logs. They will prepare and submit monthly crime reports.
+ Performs a wide variety of clerical activities. The Records Clerk is responsible for issuing proper receipts for the various monies received during their shift. They will insure that the paperwork gets logged on the appropriate forms to insure proper distribution to the appropriate agencies. They will complete data entry of offense, supplemental, arrest, and accident reports, citations, warrants, and other information into the computer. The Records Clerk will be able to perform the data entry of all of the different types of reports that the section receives. They will be knowledgeable of the KCJIS data system and be able to perform the function of electronic submission of reports to the state.
+ Performs communication skills. The Records Clerk will be a liaison with other divisions, government departments and agencies, community organizations and the general public. They will continually conduct day to day business with several individuals and businesses throughout the day. This contact generally will be to clarify some problem or to coordinate some effort that may involve persons outside this agency. This requires the Records Clerk to effectively communicate with an assortment of individuals in a very courteous manner.
+ Presentations. Records Clerks may be required to provide training to department personnel.
+ Maintains security and confidentiality of all records.
+ Performs all other duties as assigned.
+ Ability to lift up to 25 pounds and carry up to 10 pounds.
Typical Qualifications
Knowledge, Skills and Abilities: Typing skill of 40 wpm required. Skills in operating modern office equipment. Knowledge of specific office procedures. Ability to maintain confidentiality of information. Ability to communicate with department personnel, City officials and the general public, especially in stressful conditions. Ability to use Word, Excel, PowerPoint, Adobe, Outlook, RMS, CAD, Command Central Capture Perfect Start-Shop Omniverse.
Education, Certification and Experience: High School Diploma or GED. Previous experience in communications and office equipment preferred. Knowledge of general office procedures. Ability to maintain confidentiality of information. Ability to communicate with department personnel, City officials and the general public, especially in stressful conditions. Ability to learn demographics of the city.
