    Minimum Qualifications:

    4 years of professional direct experience in an administrative support position. An associate’s degree from an accredited college or university and two years of administrative experience; or a bachelor's degree from an accredited college or university can substitute for the required experience. Computer proficiency must include Microsoft Office Word, Excel, and Outlook.

    Preferred Qualifications: Preference may be given to candidates with the following qualifications:

    One or more years of working for a Florida state agency. Proficiency with SharePoint.

    Requirements:

    Employment in this position is contingent upon a satisfactory Level 1 & Level 2 background check at no cost to the candidate .

     

    Office hours are from 8:00 A.M. to 5:00 P.M. Eastern Standard Time, Monday through Friday. Not eligible for Telework.

    Position Overview and Responsibilities:

    The duties include but are not limited to:

    Coordinating the administrative/business functions of the FWRI Director's Office (DO).

     

    Serving as liaison between the DO and the Commission, Office of the Executive Director, other Divisions, other government agencies, and the public, representing the Office/Institute in a courteous and professional manner.

     

    Providing administrative support to the Director and Deputy Director of FWRI, including maintaining calendars, preparing travel authorizations and reimbursements, and assisting with the timely purchase, processing, and/or approval of invoices for office supplies, equipment, other goods, and services for the DO.

     

    Facilitating the flow of information from the DO to staff with timely announcements. Researching and responding to public and staff inquiries, resolving problems, or referring to the appropriate resource.

     

    Supervising the Institute's receptionists and other OPS staff as assigned.

     

    Organizing and participating in Institute Leadership Team meetings, both virtual and in-person, including creating agendas and providing meeting materials, taking meeting notes, and disseminating and/or posting minutes, as appropriate.

     

    Coordinating and maintaining the databases associated with the FWRI Extra Effort Awards Program, the FWRI Research Approval process, and the annual Conference Travel Plan. Coordinating and overseeing the FWRI Volunteer/Internship Program.

     

    Facilitating FWRI Morale Team meetings. Leading logistical planning for the annual Science Symposium and Awards Ceremony.

     

    Other duties as assigned.

    Knowledge, Skills and Abilities:

    Up-to-date knowledge of general business, administrative, supervisory, office management policies, practices, and procedures, and the applicable rules, policies, and procedures of the SOF/FWC/FWRI. Ability to: communicate effectively and tactfully both verbally and in writing, prioritize and coordinate work, assess and resolve problems, follow through on assigned tasks and projects, coordinate and delegate work, effectively supervise others, Interpret and apply FWC/FWRI rules and policies, work from 8-5, Monday through Friday, and hours in excess of 40 per week as needed. Skill in the use of personal computers, office phone systems, Microsoft email, calendar, spreadsheet, database, and word processing software. Skill in dealing effectively and confidentially with sensitive subject matter and with a diverse group of people in difficult situations.
