    The University of Washington’s Human Resources (UWHR) department has an outstanding opportunity for supporting the organization’s goal to move from paper records to electronic records management, and ongoing electronic records management. **This is a one-year, benefits-eligible fixed duration appointment.**

     

    As a Records Analyst 1, you will report to UWHR’s operations manager as a key player in our transformational records management project, ensuring compliance with personnel records management guidelines for the maintenance of electronic and paper records.

     

    This position will spend approximately 50–75% of the workday working independently in a file room environment, supporting a large-scale records transformation project. Tasks include reviewing, organizing, and inventorying personnel files; preparing records for scanning or archival storage; and maintaining accurate tracking documentation. The role requires a high level of autonomy, attention to detail, and consistency in following established procedures.

    Responsibilities:

    + Coordinate and participate in scanning and organizing paper records.

    + Review scanned records to ensure they meet policy requirements for clear and complete representations of the paper records.

    + Intake of electronic records to UWHR’s electronic document management platform.

    + Ensure the appropriate inventorying, transfer, and storageof records from UWHR’s file room locations.

    + Respond to and collect records for various file requests.

    + Time tracking of hours worked into Workday at end of each shift.

    + Perform any of the duties of the Records Analyst 1 and/or other duties as assigned.

    Minimum Requirements

    + Bachelor’s degree and two years of experience in records analysis or related administrative work.Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registratio

    Desired Qualifications

    + Proficiency in Microsoft Outlook, Excel, Word, and Windows file management.

    + Strong attention to detail and ability to follow written and verbal instructions accurately.

    + Demonstrated ability to work independently and manage time effectively with minimal supervision once trained.

    + Experience working in environments requiring high levels of autonomy and accountability.

    + Consistent application of sound judgment and critical thinking.

    + Ability to maintain strict confidentiality of personnel records.

    + Comfortable working with a culturally diverse population.

    + Accurate time tracking of hours worked using Workday.

    + Willingness and ability to work on-site at multiple UWHR office locations near the Seattle campus.

    Physical Demands

    + Ability to visually review handwritten, typed, and electronic records for accuracy and completeness.

    + Frequent use of hands and fingers for keyboarding, handling paper documents, and operating office equipment.

    + Ability to alternate between sitting, standing, and walking throughout the workday.

    + Occasional bending, stooping, squatting, and reaching overhead to access records.

    + Ability to safely lift and move boxes weighing 25 lbs.with occasional liftingand moving of 50 lbs.

    + Navigating file room aisles that may contain obstacles; use of step stools may be required.

     

    Compensation, Benefits and Position Details

    Pay Range Minimum:

    $45,288.00 annual

    Pay Range Maximum:

    $60,336.00 annual
