    Job Summary

    The School of Social work is seeking a highly motivated and adaptable Student Records Evaluator to provide meticulous student record and enrollment maintenance, degree audit clearance, and administrative support to the School of Social Work's Registrar's Office.

    Responsibilities*

    The successful candidate for this role will provide careful review and analysis of transcripts for determining academic credit and degree eligibility for various School of Social Work academic programs. This position will be the lead evaluator on the new Masters in Social Impact Leadership program at the School of Social Work. The Evaluator will stay abreast of all requirements and any changes to the MA degree and will ensure that these updates are processed within internal systems, on any resources, and on the degree audit advisement report, accordingly.

     

    This position will also largely provide general data, academic records, and administrative enrollment support for all SSW academic programs and will frequently work with the university registrar's offices.

     

    As needed, this position will provide more general administrative support to the SSW Registrar's Office as well.

     

    Unit support

    This position will provide administrative and technical support including:

    + Handling and responding to general office inquiries:

    + First line of contact for in-office guests

    + Office email and phones: answering the general office phone line, responding to and triaging appropriate office emails and voicemails

    + Provide in-person office coverage, as needed

    + Assist with administrative projects and other general duties as needs arise

     

    SSW Student Records Maintenance

     

    Maintain student record updates in M-Pathways and internal systems; process appropriate documentation and forms; pull any necessary student and curriculum data reports and queries

     

    Perform data entry, student data verification, and data retrieval in Wolverine Access and SSW's FileMakerPro internal system

     

    With minimal oversight and in collaboration with program managers, maintain the SSW Course Enrollment Petition process and issue appropriate student permissions for course enrollments

     

    Process student enrollment verification letters and forms

     

    Issue automatic course enrollment permissions for special programs and student groups

     

    Process term and program enrollment withdrawals

    MA Program Support

    + Verify transcripts for internal exemption requests and process approvals

    + Maintain and update individual student records and degree audits including entering exceptions and substitutions

    + Attend necessary meetings and stay knowledgeable on MA degree requirements, updates, and changes

    + Ensure updates and changes are maintained in the appropriate internal systems and within the university system and reflected in the degree audit report

    + Degree Processing for April, August, and December:

    + Monitor, review, and notify students and advisors of outstanding degree requirements

    + Review final degree audits and update degree status in M-Pathways

    + Prepare tentative and final degree lists

    Required Qualifications*

    + Bachelor's degree

    + Minimum 1 year of work experience in higher education

    + Experience in data entry and record-keeping

    + Must be proficient with Excel

    + Demonstrated ability to pay strict attention to detail, be well organized, an ability to concentrate and focus on multiple tasks at one time with numerous interruptions, and able to meet deadlines

    + Must possess professional interpersonal skills and the ability to communicate well under pressure with faculty, students, and staff; must possess demonstrated cooperation, flexibility, and a teamwork attitude and must be able to accept feedback and ask questions in a professional manner

    + Demonstrated ability to exercise discretion in handling confidential information

    + Must be adaptable; supportive of and participate in, change initiatives to improve service, efficiencies and/or productivity

    + Demonstrated interest in and capability for learning new software applications

    + Experience working with a supervisor and in a team environment and the ability and desire to work autonomously and take appropriate initiative

    A successful candidate will have a high-level working knowledge and demonstrate experience with:

    + Student information systems and preferably FileMaker Pro or other analogousdatabase programs, including formatting and utilizing data pulls as necessary.

    + Utilizing Microsoft Office products including Word and Excel, as well as AdobeAcrobat, Google docs, sheets, and drive

    Desired Qualifications*

    Demonstrated working knowledge of:

    + Wolverine Access and MPathways, specifically Student Administration

    + University of Michigan's student career, program, and plan setup and organization

    + UM's curriculum set-up and functionality

    + Business Objects and UM's Data Warehouse; query-building and data review

    + FileMaker Pro or similar database programs

    + Knowledge and understanding of FERPA

     

    Work Locations

     

    This is an in-person, on-campus position for the School of Social Work. The work location will be in the School of Social Work building (SSWB) at 1080 S. University, Ann Arbor, MI 48109-1106. A hybrid schedule may be available for this position, but the primary work location will be in-person at the SSWB.
