Job Overview
The Onboarding Specialist manages the seamless integration of new hires into the organization by coordinating onboarding activities, ensuring compliance and fostering a welcoming environment for all new employees and non-employees. Specific duties include but are not limited to facilitating and monitoring the onboarding process from offer acceptance to start date. Critical-thinking skills are used while following standard work procedures ensuring deadlines and compliance standards are followed and new hire tasks are completed timely to ensure there are no delays.
Job Expectations:
+ Efficiently schedules new hire appointments by collaborating with candidates and utilizing decision-making skills to expedite start dates
+ Assigns and monitors onboarding tasks for new hires to ensure accuracy and compliance including processing sign-on bonus agreements, verifying primary source licensure, and ensuring data integrity through accurate use and documentation within the applicant tracking system
+ Manages new hire credentialing assignments, updates internal systems for credentialing and payer processes, and proactively monitors and communicates any start date impacts to ensure timeliness
+ Meets in-person with all new hires creating an exceptional experience and completes all required paperwork and enrollment in applicable training and orientations, ensuring confidentiality
+ Validates work eligibility requirements and ensures comprehensive documentation for federal regulation compliance
+ Utilizes various systems to enter and track completion of required compliance requirements (i.e. I-9, DHS, applicant tracking system, employee records, etc.)
+ Acts as the subject matter expert on the onboarding process and facilitates the connection of the new hire with appropriate content experts when necessary
+ Troubleshoots any concerns through the onboarding process and finds appropriate solutions
+ Partners with Employee Occupational Health Services (EOHS), the recruitment team and hiring leaders to ensure and communicate proper clearance for new hires
+ Navigates start date delay and offer rescissions during the hiring process, ensuring clarity and professionalism
+ Actively participates in creating and implementing process improvements
+ May assist with travel arrangements (travel, hotel and/or rental car needs), candidate reimbursements, expense management and purchasing card transaction reconciliation
+ Other duties as assigned
Required Qualifications:
+ 2 or more years of Human Resources experience
+ 1 or more years experience working with an applicant tracking system (ATS)
Preferred Qualifications:
+ Bachelor’s degree in Human Resources or related area
+ Healthcare experience
