Position Overview:
As a Alumni Records Coordinator at Galen College of Nursing, you will ensure that placement data is accurate and meets accreditor, state and federal regulatory requirements. Obtaining placement information on alumni, coordinating gathering and entry of information with campus support.
Key Responsibilities:
1. Answer student questions with regard to the information solicited and provide a main campus resource for them to reach out to if they have a need for support beyond that provided at the campus level.
2. Provide guidance to the campuses/students on the use of tools to retain documents that can be used in seeking placement.
3. Follow-up with graduating students to verify placement information obtained by the campus and to follow-up on the process and procedures followed to ascertain that information is properly documented and to determine if improvements should be made.
4. Be able to differentiate between and provide guidance for job based and educational placements.
5. Collaborate with campuses and academic support staff to collect placement data from Galen graduates.
6. Coordinate work and meet needs of other functional campus teams to meet needs of students with regard to placement.
7. Assist staff as needed with interfaces with the student information system or other tools and assist in the maintenance of statistical data to track our career services, placement information, and alumni tracking.
8. Provide information on policies and procedures if requested.
9. Provide reports and documentation as requested
10. Ensure alumni placement data meets the requirements of our accreditors and regulatory bodies to whom we must report placement data.
11. Other duties as assigned.
Position Requirements:
+ Knowledge base: Knowledge or willingness to learn current student systems, for example, student information systems, and National Clearinghouse. Knowledge or willingness to learn current college catalog, policies, procedures. Knowledge or willingness to learn state requirements for licensure. Knowledge or willingness to learn campus resources for the support of the students.
+ Education: Associates degree in a business related field required. Bachelor’s degree or higher preferred.
+ Experience: Three (3) years’ experience in college or academic setting preferred.
+ Ability to: Communicate orally with co-workers, customers, clients, or the public in a face-to-face, one-to-one setting or using a telephone. Work cooperatively with other employees, various levels of management, and students. Detailed oriented. Excellent verbal and written communication skills. Computer proficiency in Microsoft Word, Excel and Outlook. Ability to work under pressure and complete tasks by deadline dates. Ability to work in a fast pace environment. Ability to speak in front of small groups.
+ Physical Requirements: Ability to walk, stand, and sit for long periods of time. Ability to speak concisely and effectively to communicate needs. Ability to operate a personal computer and other office equipment. Normal motor skills and eye-hand coordination.
+ Degree of Supervision: Minimal supervision.
