The Senior Associate Relations Investigation Specialist is responsible for leading and conducting workplace investigations to ensure that concerns raised by associates and third parties are promptly and thoroughly investigated. The Specialist will be asked to flex between multiple shifts as needed. The Specialist exercises independent discretion and judgment in scoping and completing investigations, primarily related to associate relations. The Specialist will conduct investigative interviews, direct investigations as needed, and draft and retain appropriate documentation. The Specialist interacts with associates at all levels, remains neutral in all investigations, and supports a culture of understanding and trust. The Specialist will assist with managing Swagelok’s Ethics Hotline. The Specialist will be responsible for creating, maintaining, monitoring, and analyzing key metrics on investigations and conducting root cause analysis and providing proactive recommendations based on such metrics. The Specialist will also have responsibility for conducting periodic training on best practices in conducting workplace investigations assisting with coordinating other related training. The Specialist may also assist with additional HR compliance efforts as time permits.
Essential Duties and Responsibilities:
Investigations:
+ Lead and conduct workplace investigations in a professional and timely manner while appropriately managing a case load of investigations.
+ Independently determine the appropriate approach and scope for conducting an investigation.
+ Utilize interviewing best practices, including demonstrating integrity, empathy, and confidentiality, and be able to connect themes.
+ Identify and review appropriate documentation and policies in the course of investigations.
+ Use proper evidence identification, collection, documentation, and preservation methods.
+ Prepare thorough, well-organized, well-written, unbiased documentation, including investigation summaries, in consultation with Human Resources and Legal.
+ Align with Human Resources and appropriate functional areas on any recommended corrective actions stemming from investigations.
+ Ensure post-investigation actions are assigned, completed, and documented, including any corrective actions.
Continuous Improvement:
+ Maintain appropriate metrics related to investigations, including key Human Resources investigations not led or conducted by Specialist.
+ Periodically review, independently analyze, and present on findings and proactive recommendations based on metrics.
+ Periodically train Swagelok associates on conducting investigations and appropriate documentation and assist with coordinating other related training.
+ Partner with other internal teams to influence updates to policies, procedures, and standard work based on observed trends.
+ Perform other duties as may be assigned from time to time.
Education and/or Work Experience Requirements:
Required:
+ Bachelor’s degree, preferably in Human Resources or related area
+ 7+ years HR or related experience, including 2 years in roles that included conducting workplace investigations
Preferred:
+ A highly developed understanding of investigation practices and employment laws, including appropriate training.
+ Demonstrated strong understanding of policies and procedures related to Human Resources practices.
+ Experience and confidence to make complex decisions and to exercise quality judgment when working with disputed issues.
Skills:
+ Interpersonal skills and the ability to interact and communicate effectively with associate-witnesses, members of management, and others during investigations.
+ Strong written and presentation communication skills.
+ Highly developed computer skills in programs such as Word, PowerPoint, and Excel.
+ Problem-solving with minimal supervision; ability to appropriately escalate concerns in a timely manner
+ Ability to professionally handle sensitive material and information, including maintaining discretion.
+ Self-motivated, detail-oriented, and highly organized.
+ Ability to maintain, monitor, and analyze metrics to identify potential issues and make proactive recommendations.
+ Ability to develop and conduct training.
+ Able to manage multiple conflicting priorities.
+ Ability to remain respectful in the face of difficult and uncomfortable situations surrounding an investigation.
+ Ability to recognize and put aside potential personal biases, to see different perspectives, and to conduct investigative interviews and investigations in an objective manner.
+ Able to draw out underlying themes from witnesses.
+ Ability to indirectly manage and influence others.
Working Conditions and/or Physical Requirements:
+ Working conditions associated with normal office environment.
+ Ability to operate standard office equipment (e.g., computer, telephone, copier, printer, etc.).
+ Ability to effectively communicate in both small and large groups and settings.
+ Ability to traverse between multiple locations in Ohio and Pennsylvania if needed.
+ Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state, and local standards, including meeting qualitative and quantitative productivity standards as required.
+ Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state, and local standards.
