    Administrative Assistant

     

    The State of Idaho Controller's Office is an equal opportunity employer. This position is exempt from state classified service, and the rules of the Division of Human Resources and the Idaho Personnel Commission. This is an at-will position.

    KEY RESPONSIBILITIES

    The Administrative Assistant will work within the Administration Division, reporting directly to the Deputy Controller of Administration. This person is responsible for performing a wide variety of complex clerical support functions including office administration and public relations assignments; applying detailed 218 Social Security program knowledge in developing and/or maintaining program records systems and/or in collecting information and preparing reports. Additional responsibilities include front-line customer service in person, and/or by telephone; general administrative and financial office support functions; and performing additional duties as assigned.

    Job Functions

    • Assists HR Officer with scheduling interviews, performing reference checks, and onboarding/offboarding employee tasks, along with processing biweekly payroll.

    • Assists the 218 Social Security Manager with presentations, entity votes, and will act as the primary backup to the manager.

    • May assist with board meetings by attending, preparing and posting meeting notices, agendas, and minutes from meetings.

    • Manages service incidents and requests, directing them to the right team for resolution.

    • Performs basic office support functions such as: Data entry, filing, mail distribution, supply ordering, keeping printers stocked with paper, and record keeping, managing phone calls, and front desk coverage.

    • Submits facility maintenance tickets and monitoring.

    • Any additional duties as assigned by the State Controller or his/her designee.

    Additional Functions

    • Contributes to the positive performance of the Division of Administration and the office.

    • Timely and consistent attendance is an important function of this position as it is essential for the day-to-day operations of the front office.

    • This position is a full-time in office position and maintains the hours of 8 a.m. to 5 p.m. Monday through Friday. No remote schedule is available.

    Minimum Qualifications

    • Must have a strong sense of customer service and professionalism, even in a sometimes-stressful environment. Have experience with understanding phone and email etiquette.

    • Ability and willingness to work as a team member.

    • Must be able to meet deadlines while being interrupted and to adapt to constantly changing situations.

    • Should possess good organizational, problem solving and prioritizing skills.

    • Must be able to complete assigned tasks individually, as well as work cooperatively as a team to complete projects.

    • Should be consistent, thorough and accurate in the performance of job duties.

    • Understand and follow best practices to protect sensitive and confidential information.

    • Must maintain a consistent and reliable attendance throughout the regularly scheduled workweek.
