    Summary The Charles George Medical Center is currently recruiting for one (1) Supervisory Medical Support Assistant in the Health Administration Service (HAS). The Supervisory Medical Support Assistant (MSA) works in an outpatient clinic or, inpatient ward setting. The Supervisory MSA plans and directs programs for the Health Administration Service (HAS) Responsibilities VA Careers - Medical Support Assistant: https://youtube.com/embed/EE9c4XkaELo Total Rewards of a Allied Health Professional The Supervisory Medical Support Assistant oversees frontline customer service, check-in and scheduling activities for; annual and follow-up physicals, specialty clinic consults and follow-ups, imaging tests, heart catheterization procedures, endoscopies, intravenous infusions and other treatments and tests taking place in 14 Outpatient clinics that are dispersed through the facility. The incumbent works from an office within a clinical setting and is delegated full authority to manage, supervise, and administer the various functions within a HAS supported group of assigned clinics. Duties include but are not limited to: Responsible for evaluating, determining and adjusting staffing needs on a daily basis to accommodate patient flow through clinical areas. Ensures administrative procedures are accomplished in accordance with directives and established guidelines and within established timeframes. The incumbent analyzes workload trends and adjusts staffing accordingly. The Supervisory MSA works collaboratively in an interdisciplinary coordinated care delivery model (i.e. PACT) and ensures all related duties; customer service and other duties assigned for the proper and timely treatment of patients such as appointment schedules are maintained by MSA staff for one or more outpatient clinics. MSAs must assist with clinic access contingency plans by adjusting appointment times, location, or dates as well as shift patients to other healthcare providers as conflict with staffing and/or coverage occurs. Incumbent is responsible for establishing meetings and training to discuss work problems, adoption of new clinic work processes, and in service training. Coordinates and establishes standardized written procedures and special instructions for non-routine and complex clinic-support assignments for staff. The incumbent orients medical staff to basic administrative policies and procedures dealing with outpatient scheduling and other administrative topic. Incumbent forecasts personnel, equipment and budgetary requirements to support the mission and effectively manage allocated resources. Supports patient safety standards by ensuring the use of correct identification of all patients in accordance with established VHA guidance. Work Schedule: Various tour of duties between 7:00 am to 4:30 pm Pay: Competitive salary and regular salary increases. Paid Time Off: 37-50 days of annual paid time offer per year (13-26 days of annual leave, 13 days of sick leave, 11 paid Federal holidays per year) Selected applicants may qualify for credit toward annual leave accrual, based on prior [work experience] or military service experience. Parental Leave: After 12 months of employment, up to 12 weeks of paid parental leave in connection with the birth, adoption, or foster care placement of a child. Child Care Subsidy: After 60 days of employment, full time employees with a total family income below $144,000 may be eligible for a childcare subsidy up to 25% of total eligible childcare costs for eligible children up to the monthly maximum of $416.66. Basic Requirements: United States Citizenship: Non-citizens may only be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy. Experience and Education: Experience. Six months experience of clerical, office, customer service, or other administrative work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; OR, Education. One year above high school; OR, Experience/Education Combination. Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable. May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria). Grade Determinations: Supervisory Medical Support Assistant, GS-08: Experience. One year of experience equivalent to the GS-7 grade level leading or supervising MSAs or equivalent administrative patient support staff in a non-VA medical inpatient, outpatient, or interdisciplinary setting. Demonstrated Knowledge, Skills, and Abilities. Candidates must demonstrate all of the KSAs below: Ability to provide the full range of administrative and supervisory duties to at least one subordinate MSA supervisor or team leader in a patient support setting which includes assignment of work, performance evaluations, selection of staff, and recommendation of awards and/or advancements. Ability to collaborate, communicate, and demonstrate customer service and interpersonal skills with internal and external customers to ensure quality/continuity of care and ensure compliance with established policies and regulations. Ability to provide briefings, orientations, staff development, and training in a patient support setting. Ability to manage fiscal matters, forecast resource and equipment needs, and identify budget needs. Advanced knowledge of managing or leading patient support staff in a clinic. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment. The actual grade at which an applicant may be selected for this vacancy is GS-08. Physical Requirements: Typically, the Supervisory Medical Support Assistant must be able to operate a computer terminal and be able to manage multiple activities at one time. Work is generally sedentary; however, there may be some walking, standing, bending, and carrying of light items.
