    THE POSITION

    Under general supervision, pr ovides varied secretarial and office administrative assistance to a division, section and/or supervisory and professional staff; performs related work as assigned.

    DISTINGUISHING CHARACTERISTICS

    Administrative Assistant I is the entry level in this administrative support series. Initially under close supervision, incumbents perform the more routine administrative and secretarial support duties while learning City policies and procedures and specific techniques related to administrative functions of the division or section. As experience is gained, assignments become more diversified and are performed under more general supervision. This class is distinguished from other City office support classes in that incumbents provide secretarial and office administrative services for a designated division or section and related supervisory or professional staff. This class is distinguished from Administrative Assistant II in that the latter provides complex and sensitive secretarial assistance, typically to a division manager or City officer.

     

    Administrative Assistant II is the journey level class of the series, fully com­petent to perform responsible and difficult administrative/secretarial support work as designated by management staff. Incumbents are expected to exercise independent judgment in selecting approaches to the work. General guidelines for action are normally established by the unit manager or supervisor; however, day-to-day activities may require the use of initiative and independent judgment, particularly when prioritizing work from several staff members or when dealing with City staff and representatives of the public. This class is distinguished from Senior Administrative Assistant in that the latter performs in a lead function over other support staff.

    Training and Experience:

    A typical way of gaining the knowledge and skills outlined above is:

     

    Administrative Assistant I – Equivalent to graduation from high school and two years of responsible secretarial or office administrative experience.

     

    Business or secretarial school training is desirable.

     

    Administrative Assistant II – Equivalent to graduation from high school and four years of progressively responsible secretarial or office administrative experience.

     

    Business or secretarial school training is desirable.

    Other requirements

    Must possess a valid California Class C Driver's License and maintain possession of such license during the course of employment.

     

    Typing Test - A m inimum of 50 words per minute required. We accept certificates from: Government agencies • Educational institutions • Temp agencies • Business schools
