    Daily and Monthly Activities

    + **Mail Management:** Collect and distribute incoming mail for Finance and Accounting teams primarily Tax, Payroll, Risk Management, Treasury and A/P; open, read, scan and forward documents as needed to internal and external stakeholders.

    + **Local Check Printing & Handling:** Monitor printed checks, ensure proper documentation, and prepare them for secure delivery or mailing.

    + **Shipping & Logistics:** Manage specific billing issues related to UPS for certain business units.

    + **Expense Reporting:** Process approximately 10 monthly expense reports, including two P-card/CMC submissions and reports for 8 individuals.

    + **Invoice Submissions:** Submit invoices into Concur for the individuals supported and set up any new vendors needed.

    + **Invoice Processing:** Manage approximately 200 vendor invoices annually, ensuring invoices are properly sent to Conduent for processing and ensuring the header and general ledger information is correct before final submission. Also performing follow-up activities with Procurement as needed.

    + **Bank Deposits:** Collect any miscellaneous check received in the mail at Anywhere, tracking down the correct owner, collecting general ledger information and coordinating the deposit with the Treasury group ensuring accuracy and timeliness (occurs 2–3 times per month).

    + **Financial Reporting:** Assist in the distribution and formatting of monthly P&L reports for leadership review.

    + **Administrative Coverage:** Provide backup support for other administrative staff during absences or peak periods, maintaining continuity in operations.

    Quarterly & Annual Support Activities

    + **Board & Audit Meetings:** Receive materials from subject matter experts, compile the information and distribute materials using Diligent (Board material software) for 10 annual board meetings and 10 audit committee meetings, collaborating closely with senior leadership, legal and other administrative staff.

    + **Earnings Calls:** Provide logistical and administrative support for quarterly earnings calls as needed.Schedule earnings calls and perform a test call with IT to test all equipment in the board room before each meeting.

    Qualifications:

    + Strong organizational and multitasking skills

    + Experience with financial documentation and reporting

    + Proficient in Coupa, Concur, Microsoft Outlook, Teams, PowerPoint, Excel, DocuSign and other enterprise systems used for procurement, expense management, and business communications.

    + Excellent communication and interpersonal skills

    + Ability to handle confidential information with discretion
