    PRINCIPLE OBJECTIVE: Provide administrative support for the office of the SVP, Derm Cluster NA, Head of Commercial, CL NA and Head of Marketing, CL NA. Help to effectively manage, organize ever-changing priorities, using good judgment and self-discipline. Must be comfortable working with diverse personalities in a highly complex, fast-moving business environment. A professional, positive and calm demeanor is essential in managing the fast-paced environment. Partner with assistants of Executive Management, Marketing, Finance, Sales and Education departments to effectively manage, organize, and prioritize broad range of business activities. Must be able to manage complex global travel schedule of SVP/VPs, while ensuring North America calendar and travel priorities are also met.

    ACCOUNTABILITIES:

    • Ensure effective ongoing operations of SVP’s office, ability to multi-task.

    • Handles/manipulates heavy calendar to include: domestic and international travel, scheduling daily meetings including closely coordinating with SVP and VPs on evening meeting management, senior management requests, retailer meetings, internal team meetings and Round Table meetings. Proactively manage meeting scheduling and logistics, set conference/video calls involving multiple time zones. Develop relationships with administrative staff to facilitate effective meeting planning and scheduling.

    • Arrange all travel to include: itineraries, agendas, visas, and travel advances.

    • Handles expense reporting including both Corporate Card and Meeting Card.

    • Maintain up to date appointments, requests and agendas for events on calendar.

    • Screen incoming calls, relay detailed messages and maintain call log.

    • Review all mail, non-confidential email

    • RSVPs / Restaurant Reservations / Car Services

    • Works closely with SVP/VPs to draft and generate appropriate correspondence required

    • Arrange catering/set up to include but not limited to: breakfast, dinners, prepare travel arrangements; agendas, itineraries and invitations; arranges for transportation; reviews such actions with SVP/VPs as necessary.

    • Develop and edit presentations and word documents as needed, ability to compile weekly presentations across the team, manage due dates, gathering content from SharePoint and preparing for submission to SVP/VPs, screen sharing for North America meetings.

    • Communication skills: Possess concise verbal and written skills that will allow incumbent to communicate productively with wide range of people, both internally and externally.

    • Client service orientation: Low ego, agile and responsive, demonstrate resourcefulness, drive and commitment to support the needs of the business and the team.

    • College/University graduate required.

    • Minimum of five years previous work experience; executive experience an asset.

    • Expert computer skills including Microsoft applications – Outlook, Word, Excel, PowerPoint and MAC – Keynote.
