    Description

    The H&W and Dues Specialist manages union reporting and payments, including health & welfare benefits, pensions, and dues. With over **100 locations** and **50+ unions** , this role ensures contributions are accurate, timely, and compliant. Delays or errors directly impact employee health coverage and trigger severe financial penalties. The role also supports payroll setup for union benefits and fosters strong relationships with union representatives.

     

    Primary Job Functions

    Description:

    1. Responsible for end-to-end payroll processing.

    2. Accurately calculate and report health & welfare, pension, and union dues contributions for over 50 unions across 100+ locations.

    3. Ensure all contributions are submitted on time to safeguard employee benefits and maintain compliance with collective bargaining agreements (CBAs).

    4. Prepare, validate, and transmit benefit and dues reports to unions.

    5. Monitor and reconcile payments to union trust funds and benefit providers.

    6. Ensure payment deadlines are met to avoid penalties, liquidated damages, and interest charges.

    7. Interpret and apply collective bargaining agreements for benefit and dues requirements.

    8. Ensure compliance with union rules, federal/state laws, and company policy.

    9. Maintain thorough records to support SOX and internal/external audits.

    10. Serve as the primary point of contact for union benefit inquiries.

    11. Collaborate with union representatives to resolve discrepancies and strengthen relationships.

    12. Provide timely responses to employee and union benefit questions.

    13. Assist with payroll processing to ensure proper union setup for new hires, transfers, and rate changes.

    14. Validate deductions and employer contributions during payroll cycles.

    15. Support payroll audits involving union-related benefits and dues.

    16. Ensure employees’ health coverage, pensions, and union benefits remain uninterrupted through accurate reporting and payments.

    17. Identify and correct errors quickly to protect employee access to benefits.

    18. Recommend process improvements to streamline benefit and dues reporting.

    19. Maintain standard operating procedures (SOPs) for benefit and dues administration.

    20. Partner with payroll and HR to improve system configurations and controls.

    21. Conduct scheduled audits of payroll processes, earnings, deductions, benefits, and tax withholdings.

    Education, Experience and Certification:

    Required: High School Diploma

     

    Required: 4 years of Job Related to payroll

     

    Preferred: FPC or CPP Certification

    Knowledge, Skills, and Abilities:

    + Knowledge of payroll processes including data entry, pay calculations, tax and benefits, geographical location taxation rules, wage, and hour laws, etc. preferred. Third-party payroll vendor and HRIS system experience desired.

    + Ability to evaluate and communicates unusual and/or complex content in a concise and logical way.

    + In-depth knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.

    + Advanced organizational skills with an inquisitive mindset.

    + Ability to use query and report generation tools.

    + Union payroll/Health, Welfare and Pension knowledge

    Financial Responsibilities:

    + Determine if the role has the authority over budget or revenue. If so, you must describe in what manner in the description box.

    Travel Requirements:

    + What percentage of their role do they have to leave their base location? Base location is a specific office or home location. Remote role. Travel less than 5% possibility.
