The School of Education is seeking applicants for the Sponsored Projects Manager position! As an essential member of the Finance team, this position officially reports to the Director of Finance with dotted-line supervision to the Associate Dean of Research, who will serve as a mentor and with whom they will meet weekly. This position supervises one full-time employee and serves in a leadership role by providing policy and training resources for other staff on the team as well as across the School of Education. As Sponsored Projects Manager, they provide high-quality, specialized financial and business services, leadership, and management for administrative functions to Principal Investigators (PIs) of sponsored projects within the School.

What Your Key Responsibilities Will Be
Financial Oversight and Monitoring for grants, sponsored projects, and other internal awards, including:
+ Lead fiscal matters for grant, contract, service agreements, and internal awards for projects in the School of Education
+ Manage sub-contracts by reviewing and approving sub-contract requisitions and invoices in CU Marketplace, obtaining and documenting PI approval of sub-contract invoices, and advising investigators on documentation required by OCG to set up or amend sub-contracts.
+ Monitor project expenditures and reconcile against proposed budgets; Review monthly financial reports, investigate discrepancies: and process journal entries, budget journal entries, and payroll expense transfers to resolve issues.
+ Prepare Principal Investigators, faculty, and staff with periodic and ad hoc financial reports in both standardized and custom formats.
+ Apply accounting and budgetary principles to develop what-if budget scenarios for use by project Principal Investigators, faculty, and staff.
+ Identify and report expense trends to Principal Investigators, faculty, and other staff who work with investigators, as well as advise on overages/shortages overall and within budget lines.
+ Review salary allocations on project speedtypes, update funding distribution as needed, identify and resolve incorrect distributions, enter Payroll Expense Transfers (PETs) to correct if needed, and notify HR staff of under or overpayments.
+ Review budget impacts and confirm funding availability for HR staff and investigators related to hiring and appointments.
+ Serve as the primary point of contact in the School for ePER (electronic Personnel Effort Reporting) certification, including responding to researcher inquiries, providing guidance on the certification process, and sending reminders to ensure compliance.
+ Approve transactions in Concur, CU Marketplace, HCM, etc. Ensuring they are processed according to university policies and approved in a timely fashion to meet project closeout and financial result target dates.
+ Manage the communication and administration of sponsored projects, contracts and internal grants and awards within and beyond School of Education, including:
1. Using a variety of platforms (i.e. email, Teams, Zoom, in-person meetings and presentations, etc), communicate with principal investigators, faculty, administrators, and staff about project & contract matters
2. Advise principal investigators on how to responsibly manage their project budgets, monitor expenses, deal with financial aspects of sponsored projects (such as subawards, contracts, and invoicing, no-cost extensions), interrupt policies, and navigate fiscal and procurement processes, directing them to appropriate resources as needed.
3. Serve as liaison for the School of Education with the Office of Contracts and Grants (OCG) and the Campus Controller Office (CCO), and maintain relationships with key staff in those offices
4. Attend research administrator meetings and other training offered by OCG, CCO, and PSC, communicating pertinent information to key people within SOE.
5. Assist principal investigators and Associate Dean for Research with resolving budget and reporting issues, in collaboration with staff from OCG, CCO, campus, and colleagues within the School of Education.
6. Work in collaboration with the Associate Dean for Research to provide educational and training resources on relevant policies and procedures through bi-annual meetings, email communications, training sessions, or other tools.
7. Collaborate with the Director of Finance and other members of the Finance team to develop tools, refine processes, and resolve financial and procurement-related issues as they arise.
+ Oversee project travel and expense reimbursements, purchasing, and accounts payable functions, including:
+ Serve as a speedtype approver for the following:
+ Department travel authorization forms
+ Travel and expense reimbursements in Concur
+ Scope of work forms, payment authorization forms, study subject payments, and gift card authorizations
+ Requisitions, purchase orders, and invoices
+ Collaborate with and advise other staff and team members on:
+ Business processes for setting up purchase orders and paying invoices in CU Marketplace
+ Required documents for payments made to non-employees, including study subjects, participants, and consultants
+ Requirements for purchasing items through CU Marketplace punch catalogs, via procurement card, etc.
+ Travel and expense reimbursements for faculty, doctoral students, and non-employees
+ Collaborate with other staff within the School of Education regarding fiscal matters involving projects
+ Serve as backup approver for the Director of Budget and Finance for the above functions.
Special Projects, School of Education contributions, and supervision
+ Prepare periodic and ad hoc sponsored project financial reports for the Dean, Associate Dean for Research, and/or Director of Finance as requested
+ Assist the Dean, Associate Dean for Research, and/or Director of Finance in planning related to sponsored project budgets
+ Cross-train with other Finance team staff to become familiar with non-sponsored project School fund groups (e.g., general funds, auxiliary funds, and gift funds), and serve as backup for other staff on financial matters
+ Serve on relevant campus committees and working groups as deemed necessary, and optimally represent SOE interests to inform and develop workflow and leadership decisions
+ Supervise one full-time employee, delegate and handle workload, evaluate annual performance, and provide mentorship and feedback continuously.
+ Ensures compliance with University and school policies. Approves leave requests and monthly timesheets.
+ Provides day-to-day management of team members.
+ Other duties as assigned
What You Should Know
+ This role follows a hybrid work schedule, requiring a minimum of 12 hours per week in the office during the academic year and 6 per week in the office during the summer.
+ The position operates on a Monday through Friday schedule, with core hours from 10:00 AM to 3:00 PM to allow for flexibility while ensuring team collaboration and availability. The total workweek consists of 40 hours, with the remaining hours completed remotely.
What We Can Offer
+ The starting salary for this position is $76,602.00 - $90,000.00.

What We Require
+ Bachelor's degree.
+ 5+ years of professional-level experience involving accounting, budgets, payroll and/or personnel data management principles in higher education or a similar setting with progressively responsible professional experience.
What You Will Need
+ Advanced skills in Excel spreadsheets.
+ Demonstrated skills in planning, organizing, integrating information, and making recommendations.
+ Ability to function independently and take initiative on projects.
+ Demonstrated effectiveness in written and oral communications, collaboration, and problem-solving.
+ Familiar with CU Boulder's HR, purchasing, accounting, and budgeting policies and practices, and how they relate to sponsored projects.
