    Job Description

    Administrative Assistant, Earth & Environmental Science and Environmental Studies

     

    This is a full-time, on-site, non-exempt position.

     

    Hiring Range: $25.60/hr to $32.01/hr. Pay rate commensurate with relevant experience.

     

    The Department of Earth and Environmental Sciences and the Environmental Studies Program are seeking an Administrative Assistant to support daily operations, communications, and event oversight. This individual will provide administrative support to leadership teams for the Department and the Program. They will work with Department staff and faculty, and when appropriate the Office of University Communications, on external communications such as website management, social media engagement, department digital media, and newsletters. They will plan, schedule, and oversee Department and Program meetings, meals, and events. A strong candidate will be able to manage multiple tasks and projects simultaneously by prioritizing, setting clear expectations, and managing time to meet deadlines.

    Responsibilities for this role include:

    + Serve as the main point of contact for office communications by phone, email, or walk-in

    + Coordination and planning of department and Environmental Studies Program events such as public talks, faculty candidate visits with job talks, student recruitment, seminars, parties, colloquia

    + Printing and organizing exams, class handouts, and scanning course material for faculty teaching support

    + Keep inventory of office and lab supplies, restocking as needed

    + Manage the shipping, arrival, and distribution of mail and packages

    + Manage the Department's social media content and track engagement

    + Responsible for the Department’s website content upload and maintenance, meeting with faculty and the Assistant Director to keep information updated and accurate

    + Work with faculty to design, write, and publish department news items

    + Distribute Department newsletter: gathers content on department & university events, student job opportunities, and member achievements

    + Coordinate with Environmental Studies Program staff on all communications that overlap between the Department and the Program

    + Guest outreach: Maintain communication with seminar guests, ensuring all information for their visit is disclosed and coordinated

    + Arrange international and local travel arrangements for 15-20 visitors during each academic year: book flights, hotels, and transportation, dinner reservations

    + Create and coordinate each seminar guest’s schedules with faculty and students

    Requirements

    + High school diploma; Bachelor’s degree is preferred

    + One year of previous administrative support experience is required. Experience in higher education is desired
