+ Associate’s degree or equivalent combination of education and experience.
+ Proven administrative support experience in a professional office environment.
+ Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms (Zoom, Teams).
+ Strong organizational, communication, and customer service skills.
+ Ability to manage multiple priorities, meet deadlines, and maintain attention to detail.
+ Experience with purchasing, expense tracking, budgeting, procurement methods, and basic accounting functions.
Preferred Qualifications
+ Experience in graphic design (Canva, Photoshop, Adobe InDesign, or similar applications).
+ Event coordination or project management experience.
+ Experience supporting executives or senior leadership.
+ Knowledge of university systems and procedures (e.g., Banner, SAP , Concur, or similar systems).
Job Description
The Administrative Assistant II provides administrative and operational support to the Office of the Vice President on the Round Rock campus. This position is the first point of contact for faculty, staff, students, and community guests, and plays a vital role in ensuring the smooth day-to-day operations of the Vice President’s office. The Administrative Assistant will provide front desk coverage, coordinate purchasing and financial transactions, support event planning, and perform general office management duties.
Job Duties
+ Provide front desk coverage to the Office of Vice President, including answering phones, responding to inquiries, and directing visitors appropriately.
+ Coordinate purchasing functions, including processing requisitions, purchase orders, and procurement card transactions.
+ Assist with accounting functions such as transaction tracking, account reconciliations, and report preparation.
+ Support event coordination, including scheduling, logistics, catering, materials preparation, and on-site event support.
+ Prepare correspondence, reports, and other documents with accuracy and professionalism.
+ Uphold confidentiality and professionalism in all interactions.
+ Perform other duties as assigned to support the goals of the Vice President’s office.

Occasional evening or weekend hours may be required to support events or special projects.
