    Job Summary:

    Jewish Community Foundation strives to provide excellent customer service and to insure that the highest level of donor and prospect satisfaction is provided. The Donor Support Specialist is, many times, the point of first contact for existing and new donors to the JCF. This position serves as a liaison with donors, prospects, scholarship award winners, grantees, professional advisors and clergy, agency and community members to insure prompt response and effective stewardship. The Donor Support Specialist works closely as a team member within the JCF to maintain donor accounts and related databases and responsible for ensuring timely processing of donations to and grants from the JCF funds. This position handles donor transactions and inquiries, as appropriate, and provides general administrative support to the Executive Director and the JCF staff to facilitate donor transactions, data maintenance, preparation of mailings and other correspondence with constituents and support event coordination, finance and accounting.

    Job Responsibilities:

    General Administrative Support

     

    + Handles administrative and clerical duties for the JCF. This includes data entry, documentation retention, filing, copying, correspondence, scanning and internal/external communications.

    + As needed, help schedule and coordinate meetings for JCF Executive Director including JCF Board of Trustees, JCF Executive Committee and JCF Investment Committee meetings.

    + Prepares correspondence, handouts and takes minutes for board committees.

    + Arranges meeting room space, refreshments, notifies board members of meeting dates and times, reminders and coordinating other aspects of meetings.

    + Attends such meetings as requested and finalizes minutes of the JCF Board meetings and maintains an accurate record of the JCF Board meetings.

    + Ensures that correspondence originating from the JCF is prompt, accurate, professional and courteous.

    + Coordinate mailings for:

    + Check distributions to donors, vendors and other payables

    + Donor statements

    + Grantee contracts and correspondence

    + Gift acknowledgement letters

    + Stock donations

    + Other contributions

    + Events and seminars

    + Flame

    + Professional Advisory Committee

    + Maintains records of staff time-off and submission to payroll processor.

    + Sets dates for the JCF Board, Executive Committee, Investment Committee, grant and scholarship committee meetings, as required.

    + Routing incoming mail, communications and phone calls to appropriate staff member, particularly when executive director is out of the office.

    + Assists with various components of events and programs including but not limited to:

    + :Lists of invitees for mailings

    + Nametags

    + Packets and programs

    + Set up and closure of events and programs on site

    + Assists with maintaining scholarship and grant program records and other correspondence, including the mailing of agreements, reimbursements and W-9s.

    + Maintains accurate petty cash system.

    + Other duties as assigned by the JCF Director.

     

    Donor Services

     

    + Offers exemplary customer service to JCF donors and prospects in partnership with JCF staff.

    + Provides technical support to donors/nonprofit fund holders registered on the JCF website (i.e. log in/password information/help with creating and navigating profiles).

    + Ensures timeliness of the flow of contributions to be deposited and grant recommendations dispersed from the JCF.

    + Manages the weekly grant distributions from Donor Advised and Endowment Funds including entering distributions into fund administration system, ensuring the accuracy and timeliness of such requests, and proofing of grant letters and checks prepared by others for mailing.

    + Prepares weekly deposit of donations to JCF by entering gifts in fund administration system and mailing checks for investment.

    + Tracks transfers of stock, mutual fund and other donations to the )CF from local advisers and SE! and enters required information into the fund administration system.

    + Ensures effective communication between JCF staff, outsourced fund administration and investment companies.

    + Reviews for accuracy and ensures timeliness 01 donation acknowledgement letters prepared by back office administrator for all donations received by the JCF

    + Reviews, with other staff quarterly, Endowment and Donor Advised Fund reports (pooled and nonpooled), year-end closings and other reports as needed.

    + Prepare and distribute year-end communications for the annual payout from endowment funds as specified in endowment fund agreements.

    + Maintains accurate and complete donor fund files so that new funds or revisions to funds can be documented and information is transmitted to fund administrator and complete for audit.

     

    Insurance-Funded Endowment Program

     

    + Tracks cash surrender value annual updates of all insurance policies.

    + Processes insurance donations and posts to proper fund account.

    + Prepares and mails annual payment statements to donors.
