Position Summary:
We are seeking a highly organized and proactive **Part-Time Administrative Assistant** to provide executive-level support to the VP of HR and administrative support to the broader Human Resources team. This role is ideal for someone who is a team player and thrives in a dynamic environment, is detail-oriented, and enjoys supporting a variety of tasks including event coordination and ad-hoc projects. This position is hybrid and must be located near our Beaverton, OR office.
Key Responsibilities:
Executive Support to VP of HR
+ Provide administrative support to the VP of HR, including calendar management, travel coordination, and preparation of HR-related meetings.
+ Coordinate logistics and materials for HR leadership meetings, town halls, employee engagement events, and cross-functional projects.
+ Manage sensitive and confidential information, exercising discretion and professionalism at all times.
+ Support HR communications by tracking deadlines, preparing talking points, and assisting with HR program rollouts.
+ Process and reconcile expense reports, vendor invoices, and HR department budget tracking.
+ Anticipate VP of HR’s needs by proactively identifying opportunities to streamline processes and improve team efficiency.
+ Build and maintain strong working relationships with executives, HR team members, and employees at all levels across the organization.
Team Administrative Support
+ Provide day-to-day administrative support to the HR team, including scheduling team meetings and coordinating team activities.
+ Assist with HR documentation such as, organizational charts, and policy updates.
+ Support the planning and execution of HR programs such as training sessions, employee engagement activities, and recognition events.
+ Support maintenance of HR records and files (physical and electronic) in compliance with company policies and legal requirements.
+ Support the distribution of HR communications, newsletters, and announcements to employees.
+ Assist with budget tracking, purchase orders, and invoice processing for HR initiatives.
+ Act as a resource to employees by directing questions to the appropriate HR contact and ensuring timely resolution.
Event Coordination & Ad-Hoc Projects
+ Organize and support internal HR events, meetings, workshops, and offsites to ensure seamless execution.
+ Coordinate all logistics, including catering, technology setup, participant materials, and follow-up actions.
+ Provide flexible support on ad-hoc projects, HR initiatives, and cross-functional activities, adapting to evolving business needs.
+ Serve as a point of contact for vendors and internal partners to manage event and project-related communications.
Qualifications:
+ 5+ years of experience providing executive-level administrative support, preferably in Human Resources or a corporate environment.
+ Strong organizational and prioritization skills; able to manage complex calendars, competing deadlines, and multiple projects simultaneously.
+ Exceptional communication skills (written and verbal), with the ability to draft polished correspondence, reports, and presentations.
+ Proven ability to maintain confidentiality and handle sensitive HR and employee information with discretion.
+ High proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration platforms (Teams, SharePoint, Zoom); experience with HRIS or ATS systems is a plus.
+ Experience coordinating events, meetings, and offsites, including logistics, materials, and follow-up.
+ Strong interpersonal skills; able to build trusted relationships with executives, HR team members, and employees at all levels.
+ Detail-oriented with strong problem-solving skills; proactive in anticipating needs and identifying efficiencies.
+ Experience supporting HR processes such as onboarding, employee engagement activities, performance reviews, or policy administration preferred.
+ Comfortable working in a fast-paced, dynamic environment with shifting priorities.

Pay Range
The salary range for this position (in local currency) is 47,500.00 - 88,100.00
