Job Description
The Front Office Specialist serves as the first point of contact for patients, clients, or visitors and plays a vital role in creating a welcoming and professional environment. This position is responsible for managing front desk operations, including greeting guests, scheduling appointments, handling incoming communications, and supporting administrative tasks to ensure efficient office workflow. The front office specialist will:
+ Greet and check in clients, patients, or visitors in a courteous and professional manner
+ Answer and route incoming phone calls, take messages, and respond to inquiries
+ Schedule, confirm, and manage appointments using office software
+ Collect and verify insurance information, identification, and other necessary documentation
+ Process payments, co-pays, and maintain accurate billing records (if applicable)
+ Maintain a clean, organized, and welcoming reception area
+ Handle mail, deliveries, and other front desk correspondence
+ Collaborate with clinical, administrative, or operational staff to ensure efficient service
+ Maintain patient or client confidentiality in compliance with HIPAA or applicable privacy regulations
+ Perform data entry, filing, and other administrative support as needed
Qualifications
+ High school diploma or equivalent required; associate degree or related certification preferred
+ Prior experience in a receptionist, front desk, or administrative support role (preferably in a physical therapy, healthcare or office setting)
+ Strong verbal and written communication skills
+ Proficient in using office software (e.g., Microsoft Office, scheduling systems, EHR/EMR software)
+ Exceptional organizational and multitasking abilities
+ Friendly, professional demeanor with a customer-service orientation
+ Ability to handle confidential information with discretion
Additional Information
Compensation: Hourly rate of $16 - $19 depending upon experience
