Description
Job Description – Food Safety Associate
Classification: Non-Exempt
Reports to: Food Safety Manager
The primary function of this position is to play a key role in supporting the execution, monitoring, and documentation of the company’s food safety programs. This position is essential to maintaining compliance with food safety regulations, coordinating with vendors, preparing for audits, and ensuring accurate and organized safety records. The primary focus of this role is to uphold and strengthen our food safety standards across all operations.
TheFood Safety Associate must be able to satisfactorily perform each essential duty listed below. The requirements listed are representative of the knowledge, skill, and/or ability required for the position.
Essential Duties and Responsibilities
+ Assist in the implementation and tracking of food safety and workplace safety initiatives.
+ Prepare documentation and assist during third-party audits, internal inspections, and regulatory agency visits (FDA, USDA, Organic, Seafood, Putnam County).
+ Help administer the company’s seafood HACCP (Hazard Analysis Critical Control Point) program.
+ Assist in the management of preventative control items returned to the warehouse, ensuring appropriate documentation and follow-up.
+ Support oversight of warehouse receiving processes, including review of receiving logs, temperature control checks, and other compliance-related monitoring activities, as needed.
+ Assist with recall procedures and related reporting and communication as directed.
+ Oversee new vendor onboarding and support re-evaluation processes for foreign vendors, ensuring all food safety and regulatory documentation is collected and compliant.
+ Assist with the department’s reporting needs through spreadsheet management and basic data analysis.
+ Support other administrative duties and compliance tasks as needed.
+ Must complete any additional tasks/duties as assigned by management.
Qualifications
Education/Training
+ High school diploma or equivalent required; Associate’s or Bachelor’s degree in Food Science, Public Health, Environmental Health, or a related field preferred.
+ Prior experience (1–2 years) in food safety, quality assurance, or a regulatory compliance role is strongly preferred.
+ HACCP certification or familiarity with seafood HACCP is a plus.
Knowledge/Skills/Abilities
+ Understanding of Food Safety Practices – Familiarity with HACCP, FDA, USDA, and other relevant food safety standards and regulatory bodies.
+ Attention to Detail – Strong ability to maintain accurate records, spot inconsistencies, and ensure compliance across documents and processes.
+ Organizational Skills – Able to manage multiple documentation processes, inspections, and follow-up activities simultaneously.
+ Problem-Solving Ability – Capable of identifying and addressing food safety risks or compliance gaps proactively.
+ Technical Proficiency – Comfortable using spreadsheets (e.g., Excel or Google Sheets), data entry platforms, and internal tracking systems.
+ Time Management – Can meet deadlines for audits, inspections, and reporting tasks without sacrificing accuracy.
+ Team-Oriented – Works collaboratively with multiple departments including warehouse, compliance, procurement, and management.

+ Regularly required to sit, stand, walk, and bend, for prolonged periods of time.
+ Regularly required to use hands and fingers to handle or feel objects, tools, or controls.
+ Regularly required to reach with hands and arms, balance, talk, hear, stoop, kneel, crouch, or sit.
+ Regularly required to push/pull/lift/carry and/or move up to 40 pounds, occasionally lift and/or move between 41 and 50 pounds, and seldom lift and/or move 51 pounds and up to 100 pounds.
+ Comfortable working in varying conditions (office, cold storage, rooftop units, confined spaces, etc.).
General Requirements
+ Must be at least 18 years of age.
+ Must successfully pass a controlled substance screening test.
+ Must adhere to all safety practices and company policies.
+ This is a full-time position. Must be able to work Monday-Friday , as well as weekends as needed. Work hours may vary, or change based on departmental requirements.
Work Environment
While performing the duties of this job,Food Safety Associatewill constantly work near powered industrial equipment and experience exposure to vibration and moderate to high noise levels. The work environment includes congested and high traffic areas, slippery floors, working alongside forklifts, single pallet jacks, electric walk behind jacks and hand carts. Walking and working on concrete flooring. Duties will require working in Varying climates. Temperatures range from below zero in the freezer to 95°F or above outdoors.
